Position: Vetting Coordinator

Reporting to: Head of Vetting & Marine Assurance

Contract type: Permanent


Overview of role

Working under the guidance and supervision of the Head of Vetting and Marine Assurance you will be responsible for providing administrative support to the Vetting Department. Coordinating the compliance of the Tanker and Bulk Carrier fleets, in line with the commercial vetting and compliance requirements.


Key responsibilities and primary deliverables

Vetting

  • Notify vessels about planned vetting inspection.
  • Ensure vessels SI reports are received as per agreed timescale and submitted to Oceanfile.
  • Organise SIRE and CDI inspections for the tankers and, RightShip inspections for the bulk carriers in accordance with the inspection plan.
  • Render assistance with Pre-SIRE documentation.
  • Organise Safety and Charterer inspections that are commercially requested for a particular voyage.
  • Provide vessel with requisite Class documents, prior to vetting inspections.
  • Submitting Service/Repair orders to Oil Majors/RightShip/3rd party vetting contractors.
  • Coordinate with local agents, vessels, inspectors, and superintendents to ensure planned inspection can be completed in a cost-effective way.
  • Update and maintain office records with Vetting Reports, Ship inspection and Port State Control data.
  • Ensure crew evaluation is completed on intranet by Superintendents upon completion of planned SIRE/CDI/RightShip/Safety inspections.
  • Download Superintendent’s Oceanfile reports for Tanker Fleet and pass them on to the relevant assistant for filing and circulation.
  • Oil majors / RightShip approval message to be filled and maintained in SharePoint.
  • Coordinate with vessels and agents for periodical P&I attendance as required by P&I Clubs.
  • Assist with questionnaires, drawings, certificates etc, as required.
  • Keep OCIMF, RightShip, Q88 and CDI databases updated with vessel information.
  • Prepare the KPI data for vetting and PSC inspections for the respective fleets.
  • Analyse data and prepare reports, graphs, trends etc.
  • Assist in preparing reports and presentations.


Skills Profile

  • Shipping related degree or equivalent.
  • Previous office / administration experience within a ship management company.
  • Demonstrated strong interpersonal skills to facilitate and maintain strong relationships at all levels of the business.
  • Excellent attention to detail with the ability to identify and focus on relevant information.
  • Well developed numerical, analytical and report writing skills.
  • Advanced knowledge of Microsoft Office; Word, Excel and PowerPoint and open to learning other data software package skills.
  • Ability to self-motivate and to prioritise conflicting demands against short timelines.
  • Strong focus on delivering quality and meeting deadlines. Successful track record in dealing with a broad set of activities within a fast-paced environment, whilst managing pressure well.
