Position Summary:

We are seeking a dedicated and organized Office Admin Assistant to join our team in York PA. This role requires 2025 hours per week spread across 5 days with the flexibility to accommodate the right candidate. A minimum of 3 days in the office is mandatory.

As an Office Admin Assistant you will play a crucial role in ensuring the smooth operation of our office. Your responsibilities will include handling inoffice tasks managing mail overseeing the shipping and receiving of packages coordinating marketing activities and providing support in interview scheduling and coordination alongside our head of recruitment. Additionally you will assist in maintaining the office by shopping for building necessities snacks and foods managing vendor relationships and ensuring that the building is accessible to those without entry access.

You will be reporting directly to our Office and HR Manager and will be an essential part of our administrative team.

Responsibilities:

  • Perform general office tasks including responding to emails/SLACK messages and organizing mail.
  • Replenish office supplies and maintain inventory levels for 2 offices within 0.50 miles of each other.
  • Coordinate shipments and deliveries ensuring timely arrival and distribution for marketing shows new hires and customer events.
  • Manage customer rental spaces in parking lot monthly invoicing and bank deposits
  • Schedule and meet with vendors to procure office supplies and services.
  • Provide logistical support to hiring team organizing interviews and assisting with office inductions for new staff

Location: York PA

Hours: Flexible parttime at least 3 days per week in office minimum 4 hours per day

Requirements:

  • Must be local to York PA.
  • Proven experience in office administration or related roles.
  • Proficiency with office software (e.g. Microsoft Office Suite).
  • Excellent communication and organizational skills.
  • Ability to multitask and prioritize tasks effectively.
  • Flexible schedule with availability at least 3 days per week.
