As the EA / Personal PA you will be acting as the right hand to the head of the company and C Suite level, managing a high volume of personal support with some assistance toward business workload. Aspects of the post include:

  • Diary management, organising appointments and international meetings, making the necessary preparations to support commitments including extensive travel and last-minute arrangements (international and national).
  • Assisting with business practices and supporting in the creation of business plans and assisting with financial banking and accounting matters.
  • Draft, prepare, distribute and follow-up correspondence, including taking dictation, inbox management and drafting emails on behalf of Director.
  • Act as a first point of contact to those approaching the Director, responding and re-directing incoming enquiries when appropriate.
  • Drafting letters, preparing research, and organising non-disclosure documents and managing payments and contracts for signing.
  • Organising business trips and personal holidays (sometimes including a large group of guests) and managing several overseas holiday homes, including paying bills, ensuring any deliveries have been received and maintenance is completed prior to visits. Liaising with staff on the private yacht to ensure all preparations and special requests are made prior to the family’s arrival. Organising private flights and cars where necessary.
  • Setting up and maintaining electronic and paper filing systems, improving them as necessary (both personal and business related)
  • Dealing with all household matters and personal tasks including, sourcing and purchasing presents, booking appointments/restaurants, paying bills (UK and US), organising household insurance and close liaison with household staff.
  • Assisting the Secretarial and PA pool when required (usually during absences).
  • Other tasks, which may include getting lunch and coffee, setting up meeting rooms and making refreshments for the Director and guests/visitors

EA and PA experience is a must, as is a commercial awareness of Executive Suite business practices in a corporate and professional services setting. Experience or a qualification in property would be advantageous. This is a senior level Business Assistant role beyond PA/Secretarial and general administrative support, so we offer a warm welcome for suitable candidates with Personal PA background to apply,
