People & Office Associate

6-9 month fixed term contract – Immediate start- Onsite 5 days per week - Salary of up to £25,000


Role Purpose:

In this role, you'll support on HR administration, be the first point of contact for employee matters, and co-ordinate the office management.


Reports to:

Kim Paterson


Key Responsibilities:

People Data

  • Oversee, update and manage details aligned to employee lifecycle and people policies using the people system HiBob. e.g. new starters, transfers, promotions, probations, absence of leave, Right to Work, references, performance management, departures. Ensuring data is accurate and up to date.
  • Be first point of contact for employee queries relating to people policies e.g. absence and types of leave.

Benefits:

  • Be the main point of contact for both employee queries and also liaison with benefit providers supporting on the administration and update of the services providers. These are Vitality and Medicash.

Onboarding

  • Ensure smooth onboarding and integration into company culture, e.g. desk set up including liaison with IT support, preparing new starter packs, host HR Intro sessions for how to use HiBob and how to access benefits, liaison with reception to prepare office pass.

Office Management

  • Restocking office food supplies e.g. tea, coffee liaising with external suppliers as required.
  • Tidy office group areas e.g. printer space, kitchen space, ensure confidential paper across office kept in order.
  • Water plants.
  • Restocking office stationary supplies.
  • Oversee fire warden duties, first aid kits, DSE assessments, and H&S inductions.
  • Being first point of contact for external phone calls and meet and greet where required.

Ad Hoc Tasks:

  • Support with social event administration.


Qualifications & Experience:

  • Foundational level HR operations experience, with good understanding of HR people process best practice.
  • Passion and interest in HR people process best practice.
  • Ideally to have awareness of people policy updates to employment law or industry trends.
  • Ideally to have experience in commercial (sales/recruitment) environments.
  • Ability to handle multiple tasks, maintain attention to detail and data accuracy.
  • Proven success in implementing scalable process improvements.
  • Experience with data management/reporting tools (ideally Hibob, Adobe).
  • High standards of confidentiality and professionalism.
  • Strong interpersonal and communication skills.
  • Excellent data presentation skills.
