Summary of Role

Based at our busy Head Office, This role is responsible for providing an exceptional level of customer service face to face as well as via the telephone and be knowledgeable and prompt in dealing with queries for all areas of the business.

You will be working in all aspects of Office Services and may work in a few different departments within the same week

Key Responsibilities and Duties

This position will be working in a variety of areas including:

The Red House: Keep and maintain the smooth and effective running of the Red House. The postholder will also be expected to ensure that the cleanliness is of the highest standard and residents needs are catered for where possible.

Deliveries: The Operative is receiving, documenting and delivering all parcels delivered into head office. Provide assistance to other departments within Office Services when required.

The Post room: Range of duties such as processing in-bound and out-going post and packages as well as handling cash, registering parcels, data entry, answering queries and creating postal reports. It is a physical role and you will be required to do manual handling.

Portering: To move stock,crates, rails and cages etc around the Head Office.

Key Responsibilities and Duties

  • The passing of a Manual Handling course is a requirement of the position
  • Applicants must be able to communicate with staff at all levels and with external bodies,should be fit and capable of moving heaving items in a safe manner demonstrating techniques in line with health and safety requirements.
  • Moving various items between departments around both head office and gedding road
  • Coalition of items to be sent to the staff shop and warehouses, ensuring that the correct paperwork is completed
  • Delivery of empty crates, boxes rails and cages as required to various departments
  • Palletising crates and other items prior to being sent to staff shop and/or the warehouse
  • Driving duties - collection/deliveries to various next sites such as Glen House,Gedding Road, stores and non next sites around the country
  • Assisting with loading and unloading furniture items from vehicles at Head Office.
  • Setting up for meetings and various events off and on site
  • Assist in other areas as required . (D2W, Department courier and Deliveries area)
  • To handle all incoming calls via the switchboard, screening calls ensuring they are dealt with and transferred to the relevant departments in an accurate and timely fashion whilst maintaining a high level of customer service at all times
  • Offer an exceptional level of customer service by being friendly, polite and helpful to visitors and colleagues
  • Make visitors feel welcome whilst waiting by offering drinks etc
  • Issue all visitors with a badge and ensure they sign the appropriate documentation - Notify the relevant department of their arrival
  • Work quickly and accurately to deal with all queries promptly, whilst following departmental guidelines provided
  • Manage the car share voucher process
  • Complete any additional duties and tasks as required by phase: e.g. supporting with welcoming candidates to assessment centres, Head Office induction, meeting room bookings
  • Manage the new supplier email folder, ensuring any new emails have been responded to promptly and forwarded to the relevant teams
  • Conduct right to work checks on potential new employees, checking work visas, passports and other compliant documents
  • Scan each parcel and enter onto appropriate sheets
  • Sort Parcels in to each areas at Head Office Site
  • Log each Individual item on appropriate sheets
  • Delivering to relevant areas of Head Office
  • Signature Obtained for each item
  • First line of support for the residents
  • Ensuring Housekeeping duties are carried out to the highest standard'
  • Maintaining Stock levels and Groceries
  • Weekly Bed Changes and New Guests
  • Host Meetings
  • General Maintenance of the house
