This role will provide an exceptional level of personal support to the Global Head of Strategy, Planning & Execution – Ops & Tech and Head of Fusion, taking responsibility and ownership for a variety of administrative and supportive tasks, working with a high level of autonomy and initiative to ensure the maximum efficiency of the business area and executive role it supports.

The ability to anticipate needs, think critically and offer solutions to problems is crucial to this role. You will constantly be one step ahead, with excellent organisation skills and considerable attention to detail. A high level of professional and personal confidentiality and discretion will be essential.

Working closely with other EA/PA's within AXA XL and wider AXA entities.

What will your essential responsibilities include?

Being the initial point of contact and recognised go-to person for internal and external enquiries to the business area, fielding non-priority matters and/or unconnected issues to appropriate personnel throughout the organisation and ensuring all matters are dealt with confidentially and sensitively. Helping to prioritise time and appointments through efficient diary management and reliable travel planning and execution. Including planning and facilitating delivery for the Global Head of Strategy, Planning & Execution – Ops & Tech and Head of Fusion, critical meetings and maintain longer-range calendar of events and other key activities.Manage operational expenses incurred through the necessary booking and finance systems in a timely manner, also support raising of purchase orders if necessary and processing of invoices.Perform varying duties depending on the shifting needs of the Strategy, Planning & Execution and Fusion teams, coordinating with other relevant EA's/PA's. Includes, coordinating and helping to prepare presentations / material for meetings and providing ad-hoc and project support to the broader Strategy & COO Office.Working with others as appropriate to plan and execute all aspects of all management meetings and team events and meetings (onsite & offsite), including venue and vendor selection and task management, complex diary management, travel arrangements (as per company guidelines) and agenda formulation.Ensure COO and program governance calendar is updated, reflecting latest information and preparatory meeting scheduled well in advance with key stakeholders to ensure timely submission of documents and preparation timeProvide support with organization of townhalls and networking eventsProviding any other reasonable administrative and clerical support as requested, printing documents, binding presentations, diary management, expense monitoring, email administration etc. Working with, and being aware of, highly confidential information (both internally and externally) and ensuring the ongoing security and confidentiality of such information.

Proven experience of Personal Assistant. Demonstrates a 'can do' attitude

Effective and demonstrated organisational skills: To be able to multitask, prioritize and use initiative independently. Influential collaborator: Develop and maintain productive working relationships with key stakeholders. Provide guidance and seek input from others as needed to achieve the best result possible. Effective communicator: Excellent verbal and written communication, collaboration, presentation and influencing skills. Able to communicate effectively with internal and external stakeholders at all levels of sophistication. Ability to work in a fast-paced environment and efficiently juggle numerous concurrent responsibilities.Continuous Improvement Focused: Willing to ask questions and explore new ideas. Eager to learn and focused on continuously improving technical skills.Motivated, determined and trustworthy: The candidate must be a reliable self-starter, who is happy to take on multiple responsibilities, they must be discreet and trustworthy. Experience of working with Microsoft office tools (word, excel, PowerPoint)
