Job Description

OVERVIEW

The PA provides comprehensive administrative assistance to the Managing Director and Marketing Director and acts as central point of contact for the UK and Ireland team. The role supports the MD & Marketing Director by disseminating information, anticipating challenges, managing stakeholders and supporting additional ad hoc projects as well as helping shape the culture of the team.

KEY RESPONSIBILITIES
  • Act as the primary point of contact for the MD and Marketing Director's office, handling inquiries and requests, sharing information, and providing project updates.
  • Manage diaries and schedules across different time zones.
  • Organize domestic and international travel arrangements.
  • Coordinate in-person and virtual meetings and presentations.
  • Process expenses, purchase orders, and invoices.
  • Liaise with internal and external stakeholders at all levels, including VIPs and filmmakers.
  • Handle file management and maintain contact and distribution lists.
  • Ensure the efficient operation of the MD and Marketing Director's offices, including booking couriers, arranging IT support, and scheduling meetings and office bookings.
  • Manage contact lists and email distribution lists.
  • Serve as the central point of contact for the UK and Eire team, offering support as needed.
  • Build relationships across the PA network and provide holiday cover for administrative tasks such as arranging meetings and raising purchase orders for the Marketing team.
  • Coordinate internal screenings and collect feedback.
  • Organize and manage team offsites, training sessions, and social events.
  • Collaborate with HR partners and manage internal communications.
  • Support and coordinate various ad hoc events as needed, including but not limited to premieres, guest lists, event ticketing, special screenings, BAFTA events, set visits, and experiential activations; provide assistance during events.
  • Create and maintain custom presentations for the Marketing team.
  • Arrange non-disclosure agreements (NDAs).
  • Organize internal and external Marketing sessions and conferences.
  • Assist with Marketing brainstorms, including room and catering arrangements, presentations, and guest lists.
  • Take minutes and action points and manage internal meetings.
  • Occasionally required to work outside of regular hours.

  • Proficient in Microsoft Office Suite, capable of creating high-level presentations.
  • Enthusiastic, flexible, and thrives in dynamic, fast-paced environments.
