Spinwell is recruiting for an Administrator for an excellent opportunity within the public sector.

RESPONSIBILITIES OF THE ADMINISTRATOR

  • You will support the Health Outreach team. You will need to possess strong prioritising and excellent organisational skills together with the ability to remain calm in a busy and dynamic environment. With excellent communication and interpersonal skills you will need to have the ability to formulate and implement solutions to complex issues. It is also essential that you have experience with SystmOne.
  • The work is varied, challenging and fast paced, requiring a flexible approach, initiative and the ability to motivate and inspire others.In this role you will also be expected to travel around surrounding areas, supporting clinical staff.
  • You will be expected to work collaboratively with key partner organisations, service users, carers, clinicians and other practitioners in delivering services providing a 7day week, 24 hours a day for 365 days a year working shifts where appropriate and operationally required.
  • In delivering your duties you will be expected to display behaviours that are aligned with the Trust values and as required in accordance with the NHS Constitution at all times.
  • Core Clinical Function
  • Ensuring that all information is entered on Trust systems in a timely manner
  • Delivering and implementing strategic plans within your area of responsibility
  • Providing chaperone support to clinical staff when required
  • Core Non-Clinical Function
  • Work across the team providing support to the Health Outreach team, including clinical and other administrative staff and those working lower banded posts
  • Provide support to coordinate and arrange professional meetings for the Team as required, taking appropriate minutes, attend meetings appropriate to the post
  • Arrange cover for colleagues during periods of leave
  • Record appropriately all staff sick absence and annual leave within the Team
  • Provide administration support to senior staff
  • Contribute to the selection and recruitment of administrative staff
  • To ensure that building requirements are met including maintenance and contracts such as cleaning and ground maintenance.
  • Actively support clinical staff to manage service development and quality assurance.
  • To update administrative policies and procedures and contribute to unit policies and procedures.
  • To contribute to the development of health outreach systems and processes including admin aspects of Systmone, ESR and managerial performance reports.
  • Ensure effective working within own role and that of the team/department.
  • To ensure that invoices are recorded and signed in a timely manner.
  • Undertake staff annual staff appraisal and objective setting as per Trust Policy and monthly supervision.
  • Ensure that all staff receive training in all aspects of their work and attend Trust mandatory training.
  • To be responsible for and participate in the induction of new staff, students and volunteers.
  • To work in line with all Trust Policies and Procedures.
  • To be responsible for purchasing of supplies for the unit and assist the manager in the management of the Health Outreach budgets including telephone, photocopying etc.
  • To support the team in the deployment and appropriate use of IT, including monitoring of lone worker devices and mobile working.
