The Opportunity

We are currently seeking a skilled administrator to provide support in the Service Delivery department of our client's organization.

The ideal candidate should possess keen attention to detail, excel in administrative tasks, and effectively juggle multiple projects in a dynamic setting.

It will be your responsibility to relay issues and concerns to the relevant parties in a clear and succinct manner.

Display a positive and proactive attitude, collaborate well with the team, offer assistance when needed, and exhibit strong self-management skills.

Key Responsibilities

To ensure all completed assignments generate the necessary Compliance Reports and Certificates, and are promptly sent to the appropriate contacts, including the client portal, following the established schedule

Assist the Operations manager in overseeing day-to-day coordination of service delivery requirements, according to customer specifications. Serve as the main intermediary between sales and clients.

  • Contact clients to schedule, reschedule, or confirm service delivery dates. Document all communication via email and handle contract-related paperwork throughout the job cycle.
  • Securing required permits for service delivery operations.
  • Act as the primary point of contact for Compliance Technicians/Surveyors to ensure clear task directives.
  • Issue work instructions using digital compliance systems for compliance personnel.
  • Organize work schedules, job orders, and asset management within digital compliance platforms.
  • Coordinate with Sub Contractors, providing necessary instructions and paperwork.
  • Complete compliance reports and certificates post-job completion, ensuring all deliverables are sent to the right contacts and uploaded to client portals per specifications.
  • Maintain an updated daily schedule of planned preventive maintenance (PPM) and overall job progress, documenting completion dates, outstanding tasks, issues, financial records, and additional details.
  • Collaborate with the Planning team to fulfill resource and allocation needs for timely service delivery in compliance with client requirements.
  • Verify engineers' shift payments accuracy on a daily basis post-job completion. Notify the Planning department of any required adjustments promptly.
  • Ensure continuous updates of job progress notes on digital compliance systems.
  • Support other Service Delivery team members whenever necessary.
  • Place orders for special items promptly.
  • Forward completed jobs to the accounts department for billing.
  • Generate purchase orders for subcontractors and lab analysis while ensuring costs remain within budget limits.
  • Resolve service delivery issues and engage with relevant managers as needed.
  • Answer incoming calls within three rings, direct calls appropriately, or take messages.

Thoroughly understand Service Level Agreements, Scope of Work, and ensure all team members involved in planning and coordination are well-versed in these requirements.

Health & Safety Responsibilities

  • Create method statements as necessary
  • Prepare risk assessments as needed
  • Adhere to all sections of the Company's Health and Safety Policy
  • Attend weekly service delivery team meetings
  • Participate in other meetings requested by the operations manager
