Job Overview:
We are looking for a Rota Administrator to join our friendly practice.

The Rota administrator is responsible for the planning, creating, and publishing of the clinical and non-clinical rotas.

This is a diverse role and requires excellent planning, negotiating and organisation skills to ensure staffing levels are met in accordance with practice policy and plans/changes are implemented and communicated effectively.

The following are the core responsibilities of the post.

There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

  • Manage and organise the Clinicians planners and diaries
  • Including the loading of appointment, making sure any meetings, annual leave, ad hoc information is accurately documented.


Authorising clinicians' holidays
  • Following organisation protocols
  • Allocating the weekend working fairly and ensuring any swaps are documented.
  • Booking of meetings for surgery staff
  • Setting up GP Appraisals with external appraiser, ensuring the GP has the admin time to prepare.
  • Setting up the GP/Nurse in house 121s, probation meetings, appraisals with line manager
  • Creating weekly rotas ensuring all tasks are allocated.
  • Loading weekly rotas from the clinical rota ensuring each clinician is loaded as per the rota
  • Creation of weekly room rotas
  • Checking the weekly rotas for the next week, ensuring all information is correct as per the rota
  • Organising Resus training for all practice staff.
  • Looking after room booking requests making sure the booking is implemented on the rota.
  • Invoicing for any room usage on a monthly basis.
  • Looking after the overtime sheets for the clinicians making sure any information is recorded accurately.
  • Arranging clinical cover to cover holidays, improved access, or any absences.
  • Creating inductions for any new clinician, including GP Trainees and Junior Doctors ensuring they have the correct IT access, and any shadowing is allocated.
  • Creating templates on EMIS ensuring the week templates are updated.
  • Working towards surgery targets and team targets.
  • Supporting Reception team in cancelling appointments during not notice absences.
  • Creation of nonclinical rotas.
