Procurement Assistant

On the track, Formula 1 is a team sport. And the business behind is the same. We're looking for a Procurement Assistant to join our team. You will provide administrative support to the Procurement team based at our Media & Technology Centre in Biggin Hill.

  • Reporting into the _
  • Head of Procurement, you will:_
  • Verify and process all Purchase Order Requisitions (POR) within agreed areas of spend, including but not limited to low value, transactional, catalogue, credit card, Contractor Purchase Order's (PO), etc.
  • Lead in the accurate set up and monitoring of vendor records to include new vendor set up, managing and monitoring any change to vendor details and maintaining PO supplier transmission methods when identified or requested. To support the category leads with vendor due diligence


Credit Cards
  • Log and match payment transactions, progress missing receipts and present credit card report for approval, whilst liaising with Finance department
  • Act as 1st point of call to the business for any D365 queries (order status, PO numbers) & to provide training support in D365 to new users
  • Maintain the contracts register and the contracts database for completeness and data accuracy and to alert the team of any contracts that are expiring.
  • Scanning, filing and courier any procurement documentation on request of the team.
  • Assist in the production of procurement reports, KPI's and statistics. Preparation of reports for team meetings
  • Support the category leads in administering the HMRC obligations for imports from nonEU countries
  • Provide team administration and assistance as and when required in the development of category plans, general procurement support and liaising with internal stakeholders on any P2P queries. To provide support in the teams absence and resolve any queries within your capability
  • Knowledge and Skills_
  • Good administrative, organisational and communication skills
  • Computer literate and be proficient in MS Office systems. Knowledge of eProcurement systems would be an advantage
  • Ability to work to deadlines
  • Ability to work diligently with strong attention to detail a completer finisher
  • To be proactive and selfmotivated, able to work under own initiative and as part of a team
  • A minimum of 2 years administrator experience in a medium size Company. Previous experience within a similar role would be an advantage
