Temp - Booking Administrator
Rate:
£13 - £13.50 per hour
Putney area
Mon-Fri 9-5
Bookings Duties:
- In charge of managing and sorting room bookings, including making sure the paperwork is up to date using REXLINX must have experience
- Sorting on receipt of completed booking form and deposit payment, update Excel Calendar
- Combine guest and organisational profiles to system or amend existing as required and set up chargerouting for groups, where one invoice is applicable
- Managing large group bookings, keep regular contact up to point of arrival to ensure that the centre is aware of fluctuations in group numbers, conference technical requirements, seating arrangements, number of vegans, vegetarian, glutenfree or dairyfreediets or food allergy information; update calendars and profiles as new information is received, times Chapel may be needed, breakout room availability etc
- Arrival Duties**:
- Create function sheets from for Upkeep and Housekeeping team for room set ups and beverage service needs
- Produce invoices, receipted payments received prearrival and amounts outstanding
- Support kitchen with print from Excel calendar for meal numbers and dietary requirements
On Arrival and departure Duties:
- Communicate with Reception for arrival information; check guests' information is correct
- Create nightlist daily (statutory requirement for all overnight accommodation) for Reception
- Inspect room billings prior to departure, check out guests with cleared room balances
Other Duties
- Order stationery supplies as required.
- Assist with covering the reception area at busy.
- Assist with meal service/room changes when needed
- Ad hoc shopping.
