We are looking for an outgoing, friendly, customer service focussed individual to assist our busy front of house and hospitality teams. The role will require someone who can manage their own day, balancing tasks and who loves everything about a client facing role where they can offer a welcoming service to the highest of standards. This position includes being the first point of contact for our clients, handling switchboard, overseeing meeting rooms, general office and administrative duties plus event set-ups and cover for hospitality staff holidays**.**
You will be working as part of a wider Front of House team (along with colleagues in two other office locations), to provide support and deliver the highest level of client care and professionalism at all times.
Permanent full-time contract, immediate start in our Putney office but with a requirement to travel to our Holborn or Kingston offices as the needs of the team dictate.
**Key responsibilities and duties include but are not limited to**:

- Greeting clients in a friendly and professional manner;
- Answering calls in a warm, professional, and timely manner using a switchboard system;
- Knowing and understanding the firm’s departments and services to be able to direct calls appropriately;
- Meeting and greeting clients and visitors and notifying the meeting organiser
- Managing the reception, meeting room and kitchen areas and making sure they are always well maintained;
- Meeting room preparation including setting up and making refreshments, clearing rooms when meetings completed and restocking supplies as required;
- Organising room bookings to accommodate need;
- Managing the booking system for office desks and making sure the schedule is up to date;
- Providing support to our hospitality team with event set-ups, firm lunches, food ordering and deliveries;
- Booking couriers for transport of client documents;
- Providing cover and support (lunch & shot-term absences) for the offices services assistant, with tasks that may include;
- Handling post;
- Receiving and distributing deliveries from suppliers;
- Photocopying assignments.
- Liaising and co-ordinating with other business services functions (facilities, office services, hospitality and IT) and external suppliers to report faults / issues or order stationery / refreshment supplies related to FOH;
- Providing ad-hoc administrative duties such as updating contact data information on CRM systems.

**Essential skills**
- Excellent customer service attitude and skills.
- Strong oral and written communication skills.
- Must be effective in handling problems, including anticipating, identifying and solving problems as necessary.
- A good understanding of the need to maintain client and visitor confidentiality.

**Preferred requirements**
- GCSE’s grade C - A* which must include Maths and English;** **or starter qualification in business, admin or secretarial fields.
- Proficient skills in MS Office: Word, Excel, Outlook.
- Experience in a customer service or client facing role ideally within a professional services environment
- Excellent communication both written and verbal - the role involves liaison with internal and external people at a senior level.
- Ability to work 09:00 to 18:00 Monday to Friday.
- The flexibility to work outside normal office hours as may be required from time to time (overtime is available).
