The law firm is seeking to recruit an E Billing Coordinator to join their finance team, preferably with prior experience in a legal environment.

Key activities/responsibilities:

  • Onboarding clients onto e-billing platforms for all firm locations.
  • Setting up new matters in line with client e-billing platforms at the beginning of each case (timekeeper rates, fee limits, etc.).
  • Preparing bills as per client agreements and firm procedures across all e-billing platforms.
  • Ensuring prompt submission of all e-bill invoices.
  • Compliance with client e-billing guidelines and vendor specifications.
  • Managing rate submissions to clients and ensuring accurate rate synchronization between Aderant and e-billing platforms.
  • Uploading all bills to e-billing platforms using the e-billing hub as needed.
  • Tackling e-billing rejections, identifying and resolving issues, and assisting in successful invoice delivery.
  • Providing updates to Partners, Associates, and the Credit Control team on e-bill progress, accruals, and budgets.
  • Collaborating with the Finance Systems Team to enhance the firm's processes and procedures.
  • Supporting colleagues in the Revenue Control team to provide top-notch revenue management services.
  • Interacting effectively with Management Accounts, Credit Control, and Cashiers teams for a seamless service delivery from the Revenue team.
  • Ensuring compliance with Solicitors Accounts Rules and UK and EC VAT regulations.
  • Establishing strong working relationships with Partners and Associates.
  • Handling other miscellaneous tasks as assigned by the Revenue Manager.

Candidate Profile:

  • Must possess technical skills with a good grasp of SAR and VAT rules, preferably with knowledge of multi-currency and multi-jurisdictional billing.
  • Extensive experience in Revenue Control and/or billing within a law firm setting.
  • Proficient in IT, especially Microsoft Office applications (Excel, Word, etc.).
  • Experience and understanding of legal billing functionality, ideally with Aderant/CMS or Elite 3E/Elite Enterprise.
  • Knowledge of e-Billing Hub and platforms such as Collaborati, TyMetrix T360, Passport, Counsel Link, Serengeti Tracker, Legal Tracker, Coupa, Ariba, and others.
  • Familiarity with all LEDES formats and UTBMS codes.
  • Strong client service orientation with prior experience working with Partners and Senior Associates.
