Job description
Provide a professional and patient focused service to our GPs and all patients attending our practice.

Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way

Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of administrative support to clinical staff and other members of the practice team

Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies

Duties and Responsibilities:

  • Dealing with patient queries
  • Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional
  • Monitoring the flow of patients into the waiting room, ensuring the appointment system accurately reflects the arrival of patients
  • Using judgement and communication skills to ensure that patients with no prior appointment but needing urgent consultation are seen in a logical and nondisruptive manner following the practice procedures.
  • Explaining Practice arrangements and formal requirements to new patients and ensuring procedures are completed
  • Answering the telephone promptly and conveying messages in a timely manner ensuring accuracy and clarity.
  • Processing and distributing incoming (and outgoing) mail. Confidential items to be treated as such, not opened unless instructed otherwise, but addressee to be promptly made aware of these.
  • Recording adminrelated events in Clinical computer system (SystmOne)
  • Management of online patient contacts in an efficient and timely manner
  • Scanning patient correspondence and other papers into the patient record in SystmOne
  • Working with our Practice pharmacist in processing repeat prescription requests in a timely manner
  • Monitoring repeat prescription requests to ensure that patients attend the surgery for medication reviews and other necessary health checks
  • Alerting the Practice Manager or Partners to any complaints or potential problems
  • Registration of new patients in accordance with NHS guidelines
  • Opening up the Practice in the morning and closing it in the evening according to agreed procedures
  • Understand and maintain the confidentiality of patient and practice information / data
  • Meeting targets that are set by the Practice Manager
  • Other ad hoc tasks as required
