Hours : 37.5 hours a week, Mondays to Fridays

Will be required to work either an early shift (07h00 to 15h00) or a late shift (10h30 to 18h30) to cover Practice opening times. On occasions shifts may differ when covering annual leave.

Tenure: Permanent (subject to satisfactory completion of probationary period)

Location: Lincoln House Surgery (in Apsley and in Highfield )

JOB ROLE

The aim of this role is to streamline the flow of patient's appointments (most of them incoming via an online form), submitted by patients by effectively triaging into respective clinical or administrative services. The post holder will follow the system's Optimisation Flowchart and Protocol. Full training will be provided onsite to ensure the post holder is sufficiently equipped to carry out their duties. In addition, this role will also need to be able to provide cover to the rest of the reception team as and when needed.

JOB PURPOSE

  • To effectively manage and triage eConsults.
  • To carry out administrative and reception related tasks as delegated by management.

KEY WORKING RELATIONSHIPS

The range of individuals and organisations the post holder has contact with, how regularly and for what purpose:

  • Doctors, Nurses, HCA - Daily, where relevant with clinical queries
  • Administration & Reception Team - Daily, with all aspects of work

DUTIES AND RESPONSIBILITIES

  • Act as directed by other team members.
  • Follow practice protocols to ensure consistent and high-quality care is provided to our patients.
  • Effectively manage and triage (eConsults)
  • Carry out administrative tasks as needs arise. This may include but not limited to: reception, scanning, filing, summarising, coding incoming clinical correspondence.
  • Attend any optimisation training as deemed necessary by the Practice.

The abovelistofjob dutiesisnotexclusive orexhaustiveand the post holder will be required to undertake such tasks as may reasonably be expected within the scope and grading of the post.

GENERAL RESPONSIBILITIES FOR ALL STAFF

The post-holder is expected to:

  • Adhere to practice policies and procedures and relevant legislation including the requirements of any professional bodies.
  • Attend mandatory training as identified by the Practice.
  • Highlight potential development areas.

The post-holder must maintain the confidentiality of information about patients' staff and practice business in accordance with the Data Protection Act 1998 and Caldicott principles.

Employees must be aware of the responsibilities placed upon them under the Health and Safety at Work Act (1974), to ensure that the agreed safety procedures are carried out to maintain a safe environment for employees and visitors.

Essential

Qualifications

  • English Language 'O' level/GCSE or equivalent
  • Mathematics O Level/GCSE or equivalent
  • Computer literacy familiar with a variety of Office software systems

Experience

  • Working in a fast-paced office environment
  • Experience of working in a GP practice (highly desirable)
