Job Description

We are seeking a highly organized and detail-oriented Operations Coordinator to join our team at Think Specialist Recruitment. As an Operations Coordinator, you will play a crucial role in supporting our operations team and ensuring the smooth execution of our business operations.

Key Responsibilities:
  • Audit and analyze actual budgets to provide targeted feedback reports for improvements and notify management and directors.
  • Conduct contracts costings audits to ensure accuracy and compliance.
  • Manage and maintain accurate records of receipts and invoices for all projects.
  • Oversee credit control processes, including first-stage internal invoicing.
  • Update spend trackers with all purchases and monitor job timeframes to ensure projects are completed within set timings.
  • Coordinate the addition of Purchase Orders to internal systems.
  • Organize and manage Project Managers' calendars and book site visits.
  • Liaise with management regarding new site staff and assist with first-stage recruitment and interviews.
  • Prepare and distribute weekly operative schedules to clients.
  • Ensure compliance with health and safety procedures for projects and maintain accurate records.
  • Attend weekly project meetings and take minutes, distributing them to the office.
  • Order project materials with the assistance of the Quantity Surveyor.
  • Collaborate with the finance team on large material orders.
  • Manage material returns for damages and overstock.
  • Arrange skip hire and waste sorting.
  • Coordinate the hire of tools, plant hire, and off-hire of equipment.
Requirements:
  • Previous experience in Admin/Operations type work is essential.
  • Previous experience dealing with tradespeople is ideal.
  • A positive attitude to work.
  • Proficiency in using office IT applications, especially Microsoft Excel and Outlook.
  • A thorough and meticulous approach with an eye for detail.
  • Excellent interpersonal skills and communication.
  • Adaptable and flexible in their approach to work.
