About the Role


Working alongside the wider Incoming and Collection department this role focuses on the safe coordination of incoming artwork into our London premises.

The individual will be responsible for deliveries directly from clients, carriers and Bonhams inter branch transfers. Communication with Specialist Departments, Shipping and external carriers is critical to this process.

Whilst efficiency is important focus should remain on artwork safety at all times, ensuring items are unpacked, condition checked and barcodes added before organising and assisting with the safe movement to the final storage location.

The individual will ensure the smooth running of this process, adhering to correct procedures whilst maintaining good communication.


The individual is also responsible for occasionally assisting the Fine Art Stock Controllers with the running of the London Collection departments.

There may also be times where support and assistance is needed by the Art Handling team in the salerooms and wider Operations Team at Bonhams Warehouse.


About the Department


Incoming Property Controller is part of the wider Operations Team based between our New Bond Street, Knightsbridge and Oxford locations.

We consistently provide a high level of support to auctions and the surrounding internal processes of the auction house.

We also support a number of specialist departments in pre and post auction activities vital to the successful operation of the business.


Key Tasks and Responsibilities

  • Communication liaise directly with shippers, departments and operations before deliveries arrive updating on status and plans once in Bonhams possession
  • Maintain good communication with senior members of the Operations team including the Head of Collections, Head of Saleroom, Shipping Manager and Warehouse Director
  • Efficient stock management to ensure enough space is available to receive new consignments or gather for consolidated transfers out of Bonhams possession
  • Ensuring good communication and providing support for departments
  • Assisting the unpacking and condition checking of received artwork, checking off against lists and existing paperwork if on consolidated shipments
  • To safeguard and protect the condition of artwork at all times
  • Assisting the delivery or collection of artwork by a third party shipper ensuring they also safeguard the condition of items at all times, lot accuracy is maintained and appropriate collection paperwork is provided / retained to allow for an audit trail in the event of issues
  • Ensure all accidents, damage or loss are reported to the Head of Saleroom, Legal and the relevant Department
  • Ensuring all artworks have a barcode and are located on Bonhams internal inventory system
  • Assisting with the safe movement of items to either department storage areas or photography
  • Consistent communication with the Head of Collections highlighting where assistance may be required
  • To provide support in the Collections department including busy periods as well as cover for absence or holiday
  • To provide support for the Art Handling team for installation and deinstallation of auctions when required
  • Ensure house keeping is up to date in and all key receiving and collecting areas remain clear and operational at all times
  • To ensure the best practice in property management is observed
  • In addition to the tasks and responsibilities listed, you may be required to perform other duties as assigned by your Manager
  • The seasonal nature of the auction industry requires a flexible approach and the need to work overtime, weekends and also to assist operations at other Bonhams locations as and when required
