The Role

Key Duties & responsibilities
-
Reception Duties

  • Be the main point of contact for reception.
  • Answering calls, and directing them to the appropriate people
  • Welcoming visitors to reception when required.
  • Booking meeting rooms and preparing them for meetings.
  • Coordinating office supplies and snack ordering
  • Cash & Carry order when required.
  • Arranging monthly company get together with the office (Pizza Day)
  • Track incoming sales enquiries

Sales Teams Duties

  • Work directly with the Sales Director and his Team in Edinburgh.
  • Work closely with the Sales Support team based at other locations.
  • Create sales proposals and the ability to set these out in a professional manner.
  • Making sure Account Reviews are uptodate and arrange meetings for the team.
  • Prepare and design professional PowerPoint presentations.
  • Support the Sales team with opportunities and quotes.
  • Produce / upload and monitor sales orders to the portal and ensure all orders are processed efficiently.
  • Manage all lease queries internally and externally using the portals and by phone to gain settlement quotes and pass to Account Manager to deal.
  • Handle general customer queries and liaise with departments where required.
  • Keeping track of contract end dates for Account Managers
  • Arrange diary appointments where required.
  • Providing data and reports to help the sales team using Excel
  • Manging correspondence between sales team and their clients
  • Update and track sales targets

Skills & Experience

  • Good IT and Administration skills
  • Ability to work under pressure
  • Excellent communication skills
  • Attention to detail
  • Previous administration experience required
  • Selfmotivated
  • Prioritisation
  • Proficient user of Microsoft office suite in particular Excel, Word & PowerPoint
