The Role & Responsibilities
We are looking for an Executive Assistant to provide administrative, organisational and calendar support to the Executive team and help to produce high quality
documents for Executive meetings and take on administrative duties to support the Executives.

  • Organisation and preparation of all meetings for designated ExCo members (Enterprise Division). Coordinating set up for each meeting (both internal and external) and facilitating all details from room booking to menu options and travel arrangements
  • Diary forward planning, including checking daily and ensuring free time. Taking initiative with diaries and booking out ExCo members time for preparation and review. Booking onto any external conferences
  • Ownership of ExCo Committee meeting schedules within your designated areas
  • Secretary duties / Meeting preparation and Coordination for ExCo chaired meetings (e.g. Divisional ExCo) within Enterprise/Business Finance Division, including
  • Prepare and circulate agendas
  • Collating meeting packs on Board IQ chasing presenters, allocating time slot and collating papers
  • Attend meeting to take actions and minutes
  • Produce summaries when required
  • Follow up on actions and update actions on the tracker
  • Keep meeting tracker up to date
  • Filing of all meeting packs and providing accurate record of all meeting packs / papers
  • Keep Committee terms of reference up to date
  • Organise all meeting logistics
  • Drafting of presentations on Power Point
  • Arranging Offsites working alongside Marketing
  • Handling expenses / invoices/ holiday requests on behalf of ExCo members/ updating Gift and hospitality register on behalf of Exco members
  • Assistance with IT issues, liaising with IT support where required. Assisting with preparation of new joiner induction schedules and scheduling of sessions. Arranging IT equipment and set up, general new joiner admin
  • Cover other team member in their absence

The Person

  • Strong Executive Assistance experience
  • Advanced MS Office Suite
  • Word, Excel, Power point
  • Advanced Outlook
  • Demonstrable experience in an administration/organisational role in a pressurised environment requiring tact, judgment and discretion in handling internal and external contacts
  • Experience of diary management
  • Experience of successfully working with senior management
