JOB DESCRIPTION

MEDICAL RECEPTIONIST

RESPONSIBLE TO
Reception Manager

MAIN PURPOSE


To act as a focal point of communication between the patients, doctors, and other members of the primary health care team.

To ensure the day-to-day activities of the practice are carried out accordingly.


Liaison with other members of the Primary Health Care team to provide continuity and effective desired overall care of Practice patients.


MAIN DUTIES AND RESPONSIBILITIES

  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice, 100% is to be given to each person at any one time.
  • Deal with all general enquiries, explain procedures and make new and followup appointments.
  • Website is to be checked daily via the internal rota for patient requests.
  • Action tasks as necessary.
  • Photocopy documentation as required.
  • Using your own judgment and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and nondisruptive manner.
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
  • Receive and make telephone calls as required, calls are to be answered promptly. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery. The surgery script is to be followed when answering the telephone to always ensure a professional manner.
  • Enter requests for home visits onto the computer system, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor.
  • Action repeat prescription requests as necessary and ensure that they are ready for the patient within 3 working days.
  • Advise patients of relevant charges for private (nonGeneral Medical Services) services, accept payment prior to the letter/report being completed and issue receipts for same.
  • Enter patient information on to the computer as required, ensuring records are kept up to date.
  • Make and serve refreshments, ensure the kitchen is kept clean and tidy, air and tidy the waiting room in turn with other staff. Adhere to any infection control policies and always maintain excellent hygiene.
  • Premises:

a) Open up premises at the start of the day as per internal rota starting at 7.45 am, when first to arrive, de-activate alarm and make all necessary preparations to receive patients.

b) When last to leave at the end of the day, ensure all home visits, calls etc have been completed, liaise with the duty doctor before leaving, and then check that the building is totally secured, internal lights are off, and the alarm activated (providing the building is empty).

  • Ensure that all new patients are registered onto the computer system promptly and accurately.
  • Understand how to identify and act upon safeguarding concerns (about children and vulnerable adults) in an appropriate manner (to Level 1 East of England Guidance on Safeguarding Children).
  • Undertake any other additional duties appropriate to the post as requested by the Partners or the Practice Manager.
  • Mandatory training must be always up to date, this is accessed via GP TeamNet, it is your responsibility to check renewal dates.
