Job Responsibilities:

  • To have a thorough knowledge of all practice procedures and practice boundary.
  • To work in accordance of practice protocols
  • To have a working knowledge of the telephone/system
  • Provide patient information as requested
  • Be able to cover all reception positions as necessary
  • Liaise with pharmacy team in respect of medication requests
  • Contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the teams performance.
  • Any other tasks allocated.
  • Receiving patients and process appointment requests for today and future appointments from patients by telephone, digital platform and in person
  • Deal with all general enquiries, explain procedures, and make new and follow up appointments
  • To manage conflict and deal with patients in and effective and calm manner
  • To ensure that alerts on patient records are adhered to
  • Ensure that the correct amount of time required for the specific appointment is accurately allocated at time of making appointment
  • Be aware of patients who may require urgent assistance and remain calm in emergency situations
  • Process temporary patient registrations and check/process new patient registrations
  • Receive and make telephone calls as required always checking mobile telephone numbers. Divert calls and take messages accurately.
  • Manage patient correspondence through Footfall digital platform
  • Register new patients and deduct patients from system, both as patients and for online services
  • Scan patient correspondence on to clinical system
  • Summarise patient notes
  • Deal with patient test results
  • Filing and decluttering patient notes
  • Ensure that you provide an efficient, professional and detailed handover to the member of staff taking over from you
  • Ensure your working environment is tidy and free from clutter.
  • Action medication requests and ensure that the prescription is available for collection or delivery in a timely manner
  • Ensure that all mandatory training is completed
  • Actively participate in Practice Training to ensure you provide a high level of service for the practice. This will mean that you will be expected to attend training outside of your normal working hours.
  • Ensure filing is up to date.
  • When last to leave at the end of the day ensure that all security processes and checks have been undertaken and that the practice is not left at risk.
