    About the Role:

Excellent opportunity to join our Transformation Team supporting leadership teams (based across the UK and US) with comprehensive executive-level administrative support and diary management, as well as PMO Project Management assistance.

You'll be working on special projects and day-to-day activities - we envisage 50% of the post to be PA/ EA activity, and 50% supporting the Transformation PMO Manager with reports, project administration, and working group activity.


Key Accountabilities:

  • Coordinate complex executive meetings with internal and external resources.
  • Effectively manage the leadership's team calendar for meetings, workshops and appointments, and plan and coordinate travel arrangements.
  • Attend meetings and provide secretarial duties, capturing accurate meeting minutes and typing presentations as required
  • Ensure effective document management and controls for the project and the team via SharePoint, MS Teams etc
  • Manage key projectrelated Portfolio Management Office (PMO) documentation i.e. RAID Logs, Project Plans
  • Carry out specific tasks in line with clear procedures and working practices to support the NGV Transformation team in everyday work and ensure compliance to policies and procedures.
  • Manage a wide range of administrative and executive support related tasks.
  • Develop systems and processes within own area and deal with bespoke data requests, interpreting data provided.

About You:

You'll be self-motivated, organised and proactive team player, with strong communication, interpersonal, and senior stakeholder management skills. Proficient computer skills with MS Word, Excel, Access and PowerPoint, as well as using collaborative tools i.e. MS Teams, Sharepoint.

Any Portfolio Management Office (PMO) experience in a project environment, previous experience supporting a senior level executive/ leadership team, or financial management and reporting exposure would also be highly regarded.

Salary up to £35,315


As part of our hybrid and flexible working approach this position offers a mix of office working (at our Head office in Warwick) and home working.

We can also offer some flexibility in terms of hours/ times so you can manage commitments outside of work too if required.
