Our client, a highly respected Higher Education establishment based in Glasgow, requires a part-time Administrator on a temporary basis for 6 months.

The salary for the position is £11.88 per hour. Hours of work are 14 hours per week worked between 9.00amand 5.00pm Monday to Friday. Client can be flexible on the times worked and there is potential for additional hours.

Main purpose of role:

To support the Research Department team with the administration of core tasks relating to PhD and MPhil programmes.

Accountabilities/Responsibilities:

  • Receiving, coordinating and processing paperwork relating to current students
  • Ensure that PhD student electronic records are accurate and up to date
  • Maintaining orderly electronic records on departmental network drives
  • Supporting the organisation of meetings and events including by helping to arrange venues and catering and organising and distributing meeting papers
  • Acting as secretary, where appropriate, to PhDrelated meetings and committees, including taking minutes
  • Administrative support to the annual Research Degrees Training Programme, including helping to update textual information on Canvas when required
  • Responding to enquiries from students and applicants by directing them to the relevant sources of guidance and information
  • Processing financial claims for approval
  • Liaising with Payroll and helping to administer the employment of external contributors to the PhD programme
  • Administration of annual Graduate Teaching Assistant scheme and student research training funds
  • Coordinating and maintaining regular records of student/supervisor contact for UKVI monitoring purposes

Key Skills and Requirements:

  • Educated to Scottish Higher level (or equivalent)
  • Relevant experience within a similar post, ideally in a studentfacing role and/or in support of academic programme delivery
  • Experience of providing personal administrative support to colleagues and students
  • Familiarity with Registry, Finance and Payroll systems and procedures a significant advantage
  • Ability to work efficiently and methodically, with close attention to detail
  • Ability to work to deadlines and manage a workload involving multiple tasks and priorities
  • Good interpersonal skills, and the ability to communicate effectively at all levels and to a high standard
- in writing as well as verbally

  • IT skills with a good knowledge of Microsoft Office; MS Word and MS Excel in particular
  • Excellent organisation skills, with the ability to prioritise workload effectively and meet deadlines
