We are looking for an Events Assistant to join our Events Team based in Coventry.

An Event Assistant is required to play an integral part in the day-to-day co-ordination of events and on the day event management. The Event Assistant will deliver a first-class experience and provide a seamless service whether it’s a live, virtual or hybrid event and ensure the event runs smoothly from start to finish

Duties and Responsibilities

Main duties will include:

To liaise with the client upon signature of contract, to assist with co-ordination of the event

To issue a function sheet which details client’s requirements to relevant teams (i.e. catering)

To ensure all meeting spaces are setup as per AMTC standards and the client brief

Ensure that all delegates are welcomed in a friendly and professional manner

Ensure client events run smoothly from start to finish

Advise the events team and other relevant contacts on changing client needs relating to IT, room layouts and catering

Set up and clear rooms, move furniture and equipment as required in accordance with AMTC Health and Safety and manual handling requirements

To be a point of contact for any queries during the day and ensure that these queries are dealt with efficiently

To build client and staff relationships to the benefit of the operation

To cover reception when required, providing excellent customer service in accordance with standard operating procedures

Person Specification

We are looking for a candidate who is/has:

Understanding of the events industry including event co-ordination, event management and F&B service delivery (required)

Good level of IT skills – proficient in the use of all Microsoft Office packages (required)

Basic understanding of virtual meeting/ event platforms with a desire to learn more (desirable)

Knowledge of the Condeco booking system (desirable)

Competencies / Behaviours

A personable and articulate team player, presentable at all times with excellent customer service and organisational skills

Willing to travel throughout the UK to support offsite events, if required

Willing to work evenings and weekends, if required

Demonstrates a willingness to learn and advance skills

Self-motivated and positive with ability to meet deadlines

Can work independently and as part of a team

Ability to remain calm under pressure

Ability to demonstrate problem solving abilities
