Your New Role...

As a Project Operations Coordinator within Worldwide Tours & Retail, you'll support the Project Operations Manager and leadership team in overseeing the operational elements of our global Studio Tours and Retail businesses. This role is pivotal in ensuring effective communication, task tracking, and data management across various projects.

Your Role Accountabilities...

  • Provide comprehensive administrative support to the Project Operations team.
  • Schedule and coordinate workstream meetings, considering time zones.
  • Prepare agendas, capture meeting notes, and maintain an organised filing system.
  • Track actions and key decisions using online project management software.
  • Manage shared filing systems for project documentation.
  • Raise purchase orders, process invoices, and support financial processes.
  • Maintain accurate records of visitor statistics and demographics.
  • Organise translation services for meetings and documentation.
  • Upload and share documentation internally.
  • Assist in arranging site visits and logistics for training.


Qualifications & Experience...

  • Previous administrative experience in a fast-paced environment.
  • Experience in a visitor attraction or retail environment would be beneficial.
  • Experience in project management roles preferred.
  • Strong communication and analytical skills, both verbal and written.
  • Proficiency in online project management tools and Microsoft Office, with a strong emphasis on advanced Excel skills such as creating and analysing pivot tables.
  • Excellent organisational skills with the ability to prioritise tasks.
  • Self-motivated, enthusiastic, and capable of working independently.
  • Flexibility to adapt to changing business environments.
  • Ability to maintain confidentiality.
  • Willingness to travel internationally if required.


Working Pattern...

This role is full time (40 hours a week). Due to the varied nature of visitor attractions and our retail sites this may include working across multiple time zones. Our ideal candidate will manage their own time, effectively and efficiently.

Business Overview...

Following the success of both the Warner Bros. Studio Tours in London and Hollywood, Warner Bros. Worldwide Tours and Retail division (WWT&R) continues to build on its track record of introducing compelling visitor experience into new markets that deliver high levels of visitor engagement, exceptional customer service and innovative experiences.

The latest addition to WWT&R's portfolio is Warner Bros. Studio Tour Tokyo, which opened in summer 2023 and is home to authentic sets, props and costumes from the eight Harry Potter films. Visitors are invited to discover 'behind-the- scenes' secrets of film production and see how the books were brought to life on-screen. With the chance to explore Diagon Alley, enter the Great Hall, appear in a moving portrait and even ride on a broomstick, visitors experience the magic of filmmaking firsthand. Since opening, the Studio Tour in Tokyo has joined to the Studio Tours in London and Hollywood in achieving market leading visitor reviews and is consistently sold out.

In addition to shops within the Studio Tours in London and Hollywood, WWT&R's portfolio also includes experiential retail at Harry Potter New York and the Platform 9 ¾ shops at Kings Cross station in London with a roll-out of more retail to follow.
Onsite Working - This role is advertised as Onsite, meaning all working hours and days (regardless of shift pattern) will be carried out at the place of work. Subject to any applicable laws, WBD / your Line Manager reserves the right to change this working agreement, where this is essential to business needs and upon reasonable notice to you.
