One of Lorien's leading public sector clients is looking to bring on an experienced Personal Assistant to the Head of Service. This is an inside IR35 contract for an initial 4-week period, working 17.5 hours per week.
KEY SKILLS
Planning:
Assist the Head of Service in ensuring the delivery of high-quality services and best value to service users by efficiently and effectively implementing all agreed plans. This includes:
Supporting the Head of Service by providing sound administrative support, including minute taking, to facilitate the delivery of high-quality services, which involves:
Ensuring all required invites are sent out and venues are booked
Collating received reports
Ensuring a minute taker is available or acting as a minute taker if necessary
Ensuring all minutes are taken, typed, and distributed
Ensuring processes are followed and completed within legislative timescales
Supporting the Head of Service's reporting and monitoring requirements:
Provide sound administrative support to the Head of Service to enable the delivery of high-quality services. This involves planning work to efficiently cover the following services:
Dealing with incoming and outgoing mail, initiating and responding directly to correspondence and other contacts as appropriate within the provided framework
Word processing and audio/copy typing
Maintaining front-line service delivery to colleagues and customers, handling queries via various channels
Booking venues for training courses and meetings, including hospitality and video links
Arranging travel and accommodation for Headquarters staff
Providing Human Resources with necessary paperwork/information for personnel issues within the Headquarters Team
Participating in recruitment processes for the Headquarters Team
Handling enquiries from other agencies/departments as directed by the Head of Service
Supporting the Head of Service's reporting and monitoring requirements:
Develop, implement, monitor, and maintain internal and external administrative information, filing, and archiving systems/processes efficiently. This includes:
Compiling and presenting statistical and other management information and returns as required
Assisting in the preparation of information for audit and quality assurance purposes
Preparing reports on behalf of the Head of Service as needed
Ensure confidentiality is maintained securely at all times.
Financial control responsibilities:
Support budget monitoring for defined areas by processing invoices, ensuring accurate and up-to-date financial information is available
Processing subsistence and travel claims, as well as overtime/standby claims for the Headquarters Team
Purchasing equipment and stationery, maintaining stock control processes
Health & Safety:
Ensure compliance with the Council's health and safety policies, standards, systems, and procedures
Follow additional health and safety instructions from line management
Assess workplace risks, implement control measures, and communicate effectively with the workforce
Other duties & responsibilities:
Undertake other duties as required by the line manager to achieve appropriate outcomes
Undergo an internal systems check to access Social Work databases
