Spire Cambridge Lea Hospital have an exciting opportunity to bring on an Operations Administrator to join their established team. The purpose of this role is to provide a comprehensive and varied range of administrative support to the Operations Director and associated teams.

Duties & Responsibilities: 

To provide comprehensive administrative support to the Operations Director and associated teams to ensure organisation, deadlines are achieved and the flow of departmental activity is prioritised. To manage and develop the administrative processes to ensure effective, efficient administration functioning of operational areas.  Ensuring submission of required data within appropriate timescales, this will include the monitoring of mandatory training, HR tasks, EE completion and audit schedule compliance. To ensure accurate recording of KPIs and payroll information, in accordance with Spire policies. To produce reports and spreadsheets for Operations Director as required.  To support in the administrative tasks around the recruitment and on-boarding processes. To manage the receipts and invoices associated with the corporate credit card. To support transport and accommodation requirements for the team. To monitor Datix for incidents requiring investigation, closure or those with outstanding actions and work closely with the Operations Director, Heads of Departments and Team Leads to complete. To monitor AMAT for actions, reviewing outstanding actions and work closely with the Operations Director, Heads of Departments and Team Leads to complete. To answer telephone enquiries, dealing with as able, and escalating to relevant Heads of Department as needed. To ensure staff and patient notice boards are up to date and tidy. To order uniforms as required for associated teams. To identify and report faults using Pirana system. To provide administrative support in relation to Clini 53. To support the monitoring and recording annual leave, sickness and other absences. To attend specified meetings, prepare documentation/packs and produce timely minutes for circulation. To support the Operations Director with the processing and administration of orders and invoices. To review and report on rotas and Florence providing up to date staffing information on request To update and maintain relevant folders on the shared drive. To minute safety huddles and update central shared data sheet.

What we are looking for: 

Previous experience of coming from an Administration role.  Proven customer service experience.  Fully IT literate and a competent user of MS Office. Excellent interpersonal and communication skills. Ability to build and maintain effective working relationships, both internally and externally Evidence of delivering and exceeding customer expectations, with the ability to handle difficult situations Confident telephone manner being able to communicate with a wide range of customers. The ability to work effectively as a leader but also be part of a team High degree of accuracy, methodical. logical using a common sense approach to changing workloads Innovative and proactive with an ability to work to tight deadlines Ability to act with tact and discretion and appreciate the confidentiality implications when dealing with personal information The ability to deal with sensitive and confidential information. Ability to work without supervision at their own intiative with time and diary management. Planning, organising and prioritising skills.
