Job summary

To develop andmaintain an effective and quality secretarial service to a team of Consultantsand other clinical staff, acting as a pivotal role for all communication withpatients and professional health colleagues within the multi-disciplinary team,internal departments and external agencies as necessary, to ensure continuityof patient care.

Main duties of the job

Excellent Communicationskills

Toensure accurate and timely exchange of information between Consultants, othermedical staff and management.

Tomanage Consultants diary, rearranging sessions/rebooking urgent and routinepatients to meet targets as necessary, especially where Consultant sessions arecancelled at short notice.

To deal with telephone /face to face enquiries as and when required

Effectivewriting/typing skills

Totranscribe confidential medical correspondence/reports, lecture and teachingmaterials from audio equipment.

Todraft/type correspondence notifying patients and GPs of test results andinstructions on medical/follow-up treatment etc.

To allocate appointments on V6in accordance with Consultant instructions, to ensure effective, efficient andgood management of clinical appointments.

Willing to workin a busy department, under pressure and to tight deadlines.

To work independently and as part of ateam.

Todemonstrate the Trusts core values in delivering a quality service to bothinternal and external customers

Predominantly based in Sunderland, however could be required to work across sites in Sunderland and South Tyneside locality.

Physical/Mental Ability

Essential

To work under pressure and to tight deadlines. To work independently or as part of a team. To deal effectively with patient enquires. To use initiative to problem solve.

Skills & Knowledge

Essential

Proven Interpersonal /communication skills. Effective written communication skills. Data input skills. Effective organisational skills. Microsoft Office Packages Word, Outlook, Power Point, Excel.

Desirable

Knowledge of Hospital Information Systems. Knowledge of Trust secretarial Standards. Knowledge of NHS Waiting Time targets.

Qualifications

Essential

AMSPAR Diploma level 3, OCR/RSA level 3 or equivalent typing/keyboard qualification or 2 years experience in a similar secretarial / administrative role. Educated to GCSE Level 2 (Numeracy and Literacy) (Grades A to C) standard or equivalent.

Experience

Essential

Working in a customer focussed/service environment

Desirable

Previous NHS Experience. Previous Medical Secretarial Experience.
