Job Description this role willinclude but not be limited to:

TheProject Control Coordinator (PCC) reporting into the OperationsManager coordinates project activity to support sales opportunitiesfor the supply of equipment and services for the retailsector.

A fundamental responsibility of the PCCis to ensure that all physical activity is reflected accurately inour ERP system through the administration of Sales Orders and otherconnected ERP processes. All activity must be planned to deliverthe customers requirements to agreed costs and time. This includesthe preparation of quotes and estimations by the work breakdown andprogram maintaining close liaison with all relevantdepartments.

Working in partnership with theOperations Manager within the designated customer team this rolewill ensure that all activity is visible and reported accuratelyinto Salesforce or other reporting tools such as bespoke projecttrackers. The role is also key to the customer team being able todeliver project activity to the agreed commercial profit targetsand ensure that the activity follows agreed company processes andstandards.

The PCC will join a customer teamresponsible for the followingactivities:

  • Equipmentcalloffs.
  • Internal Pricing Enquiries fromProcurement through the RFQ process
  • Detailedequipment and services quotations to the end client (usually aretailer or their appointed MainContractor)
  • Sales order entry using our ERPsoftware.
  • Month end routines includingInvoicing.
  • Commercial invoices for exportinggoods overseas.
  • COP stock conversions andmanagement of vesting agreements
  • Projectcoordination with other departments such as Procurement WarehouseDesign Sales Finance and Site ProjectManagers
  • Be a clientfacing point of contact foroperational elements of ITABs serviceprovision.
  • Run daily reports to check all goodshave been despatched as requested.
  • Generalofficebased tasks to support operationalactivity.
  • Using customer online portals tomanage programme requirements.
  • Liaising withMain Contractors and Quantity Surveyors asrequired
  • Managing lead times and customerexpectations

Objectives:

  • Expediency& Accuracy of data entry of equipment and service rows onsales orders
  • Expediency & Accuracy ofcalloffs for equipment using bespoke tools andspreadsheets.
  • Accurate and reliable data entryof delivery dates/times and to ensure these match other operationalfactors.
  • Release of sales orders for invoicingto reduce GDNI against agreed targets (time between dispatch andinvoice)
  • Release of sales order value to ensurecustomer team sales targets are met eachmonth.
  • Reduction of queries through improvedorganisation of supporting documents required to Invoice orderssmoothly.
  • Uptodate maintenance of trackers andother forecast visibility tools
  • Uptodatemaintenance of sales orders to ensure the order book visible to thebusiness reflects the truth.
  • Increased customersatisfaction through meeting expectations (SLA) for quotationtimeliness
  • Increased customer satisfactionthrough general customerservice

  • Competent in theuse of Microsoft 365 (Word ExcelOutlook)
  • Competent in the use of ERPsoftware
  • Basic understanding of Commercialprinciples such as cost price sell price gross profitetc.
  • Basic understanding of project deliveryprinciples such as Project timelines order of events logisticalrequirements
  • Basic understanding of physicalretail equipment or at least the desire tolearn.
  • Aptitude to readtechnical store planning drawings and recognise equipment andoverall dimensions to aid equipment selection and calloff.
  • Ability to efficiently gather informationfrom different parts of the business such as Warehouse LogisticsProcurement and Manufacturing relating to the delivery of retailinstallation projects.
  • Briefing skills (writtenand spoken articulation) to the Implementation team on the keyrequirements for delivery and installation in line with the agreedprocess
  • Ability to communicate with ProductionWarehouse Project Management and Implementation teams in a busy andhighpressure environment.
  • Willingness to beflexible with working hours to respond to the needs of thebusiness.
  • Experience within a Retail Servicesdelivery company (desirable)
  • Experience withina manufacturing or engineering environment(desirable)
  • Experience within a company thatsells and dispatches physical products(essential)
