Main duties of the job

We are looking for an enthusiastic self-motivated Business Support Officer to support the Herefordshire and Worcestershire All Age Continuing care team.

This role is an exciting opportunity to form part of a dynamic team committed to providing high quality services. The successful candidate will be able to work effectively within a team and will be enthusiastic, highly motivated, flexible and multi-skilled.

The post holder will be responsible for supporting the scheduling function of the business team and will support with scheduling appointments for Nurse Coordinator's to consider eligibility for CHC. The successful candidate will liaise with members of the public and other stakeholders, whilst supporting a team of Business Support Assistants within this area of process.

This role will include close liaison with both NHS partners and wider organisations including the private and voluntary sector.

Job responsibilities

Key Duties and Responsibilities

Provide specialist administration support and advice to the team andprovide day to day supervision of the administration team within therelevant workstream.

Support the CHC business team to ensure that the portfolio oftasks/projects is planned, managed and delivered effectively.Delegating work to ensure that the administration team processes arefollowed in an accurate and timely manner.

Act as a point of contact for the department, dealing with routine andspecialist enquiries in a pleasant and helpful manner, communicatingrelevant information to stakeholders, referring to others as appropriate.

Communicate effectively with all callers, providing professional andwell-informed responses and dealing with matters in a courteousmanner.

Respond appropriately to queries and complaints on a range ofcomplex, serious and contentious matters. Ensuring all complaints,comments and suggestions are dealt with appropriately, in accordancewith policy, resolving where possible and escalating to line managerwhen appropriate and acting as first line of support to the team.

Deal with incoming correspondence for the designated work area, ,responding or redirecting as appropriate, and ensuring that any urgentor important business is brought to the attention of the relevant personin good time.

Be proactive in managing the shared email and filing of contractualdocuments.

Coordinate agendas and papers for meetings, taking and transcribingminutes to a high standard and in a timely manner, producing andupdating an action log, and ensure actions are communicated torelevant parties and followed up to track progress.

Promptly and accurately produce letters, memos, reports, tables,minutes, presentations and other documents, utilising excellent writingskills and a good understanding of local processes; copy and distributecorrespondence/information as required.

Support the development of standard approaches and best practice fora variety of admin tasks and identify continuous processes forimprovement within your area of responsibility, to ensure all work is tothe highest standard and in accordance with ICB policy and procedure.

Manage electronic filing system for the designated work area includingconfidential files. Ensuring confidentiality is always maintained inaccordance with Information Governance regulations, includingappropriate filing of documentation.

Support colleagues training, induction and personal development withpractical guidance in a variety of tasks and duties as required.

A co-ordination role including contacting Providers, Professionals andIndividuals.

Work within established policies, procedures, protocols and systems toensure quality standards and performance as directed by the Business managers.

To support in the development across the organisation in thepersonalisation agenda and to support the pathway delivery forPersonal Health Budgets within NHS Continuing Healthcare.

Promote the image of the department, checking that notices andleaflets are up to date and well presented.

Complete data entry as required and ensure data is regularlymonitored, up to date, and stored in a way that is easily accessible toall relevant team members

Qualifications

Essential

Minimum GCSE qualification in English Language & Maths or equivalent. RSA III word processing or equivalent experience NVQ Level 3 administration or significant relevant experience. Evidence of continuous personal development

Extensive organisational skills and competencies Thorough knowledge and understanding of all administration support and duties Very accurate word processing skills & attention to detail. Ability to respond appropriately to telephone and other issues with tact, diplomacy and discretion

Experience

Essential

Demonstrable experience in dealing with the public and dealing with sensitive and confidential information. Significant administrative experience including maintaining office systems Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint and Access Experience of the application of the Confidentiality and Data Protection Act.
