Job summary

The role is part of a regional admin hub and flexible resourcing pool supporting senior managers across the South East. The admin hubs were set up during New NHSE England programme to create an environment where administration and business management services are professionalised, with a minimum standard of service to be expected to those they support.

The hubs enable a joint and consistent response to existing and upcoming regional priorities. The key objectives of the hubs are:

The model reduces duplication, ensures consistent application, and delivery of corporate governance requirements. Resources are shared more effectively across functional directorates, including minimum standards around 'office cover' by promoting more purposeful and consistent use of the Region's Estates portfolio. The hubs provide peer to peer support, shared learning and provide cross cover during planned and unplanned absence. Offers development opportunities for staff with training and shadowing opportunities and are great opportunity for personal and professional growth.

Nursing / Medical / Public Health Performance and Improvement / Strategy and Transformation Workforce, Education and Training / RD Office / Commissioning / Finance

Main duties of the job

The post holder will work as part of a team delivering an efficient and effective Business Management Support Service in the South East Region in line with the job description.

Key responsibilities will include:-

Planning and Organising : Ensuring the Chair and Team are properly supported to arrange and run meetings including managing documentation for meetings and events, preparation of agenda, minutes of meetings, tracking actions and timeframes as appropriate. Outcome required: Delivery of successful and productive meetings which facilitate delivery of outcomes agreed. Service Improvement: Assist with identifying opportunities to improve services, setting up and managing effective business processes to facilitate smooth running of the directorate/team. Working closely with other team members to improve current practices and achieve the best possible outcomes. Communication : Ensuring appropriate and timely responses to all relevant correspondence, draft routine responses and ensure correspondence is accurate and delivered in a timely manager. Communicating information including briefings and reports to managers and project leads, handling confidential and sensitive information.

Job responsibilities

The post holder will work as part of a team in delivering an efficient and effective Business Management Support Service.

Key Responsibilities include:

Planning and Organising: Ensuring the Chair and team are properly supported for meetings and events which deliver productive outcomes. Preparing agendas, RAID logs and minutes, working with the team to follow up actions and ensure they are delivered within agreed timeframes. Service Improvement: Assist in setting up and maintaining effective business processes to facilitate the smooth running of the hub/team. Identifying new opportunities to improve services and working with colleagues across the hubs to implement. Analysis and Judgement: Act as a contact point for teams, dealing with and responding effectively to complex queries including handling confidential and sensitive information on behalf of senior managers. Communication: Supporting effective communication and stakeholder management internally and externally, acting as administrative lead for all incoming issues to the team mailbox and dealing with them within agreed timescales.

Secondments

Applicants from within the NHS will be offered on a secondment basis only,agreement should be obtained from their employer prior to submitting the application.

Salary Progression

Applicants will commence at the bottom of Band 5 with a full-time starting salary of £28,407, with pay step increases after 2 years service and 4 years service.

These salaries are offered in accordance with NHS Terms and Conditions and the NHSE Pay Progression Policy and are subject to annual cost of living review.
