Relationship and Events Coordinator

Employment Type: Part-Time

The Relationship and Events Coordinator is responsible for building, nurturing, and managing relationships with partners, charities and other stakeholders, while also overseeing the planning and execution of events. This role combines partner relationship management with event coordination to ensure a seamless experience, increase brand awareness and foster strong partnerships. The ideal candidate will be an organised, detail-oriented individual with strong communication and interpersonal skills.

About The Role

Key Responsibilities:

Relationship and Admin Management for the Care Consortium and Partner Charities:

Policy Advocacy: Support Gill with driving policy change initiatives at Westminster by leveraging existing contacts and building new relationships.

Operational Management: Oversee day-to-day operations, ensuring the smooth functioning of the consortium.

Management of Care consortium membership, administration and relationship building

Serve as the primary point of contact for the Care Consortium, vendor, and other stakeholders, fostering long-term relationships.

Maintain regular communication to keep them abreast of upcoming Consortium meetings Membership Growth:

Develop strategies to attract and retain members, promoting the CCC's vision and benefits.

Stakeholder Engagement: Build and nurture relationships with key stakeholders in the residential care sector, local authorities, regulatory bodies, and more.

Collateral Development: Work with the Marketing Director to support in the creation of communication materials, including MOUs, Consortium Agreements, and promotional materials, to effectively convey the CCC's purpose, benefits, structure, and expectations.

Collaboration Tools: Implement online platforms and collaborative tools to enhance communication and networking among consortium members. Event Planning & Coordination: Plan, coordinate, and execute a variety of events including conferences, workshops, networking events, and corporate functions.

Manage event logistics, including venue selection, vendor negotiations, catering, AV equipment, and travel arrangements.

Oversee event budgets, timelines, and schedules to ensure projects stay on track and within scope.

Coordinate event promotion through marketing channels, social media, and partnerships.

Assist in creating event-related materials such as presentations, invitations, and agendas.

Administrative Duties:

Create a portfolio of achievements and accolades, as well as arranging a physical display of all awards.

Track and manage Gills black book of contacts and inboxes.

Setting up a database for all key contacts and consistently monitor and update.

Use WhatsApp business to set up key conversations for planning and organising meetings.

Monitor and respond to social media messages on Facebook, Instagram, LinkedIn etc

Arrange preparation for Gill’s events i.e. hair, make-up, wardrobe

Social Media: Content Creation & Posting: Develop and schedule posts across platforms (Facebook, Instagram, LinkedIn and X).

Respond to comments, messages, and mentions to build community.

Social Media Acquisition: Grow followers and drive traffic through organic and paid strategies (ads, influencer partnerships).

Analytics & Reporting: Track performance metrics and adjust strategies based on engagement and growth data.

Skills required::

- Experience in relationship management, event planning, or a similar role.

- Strong communication, negotiation, and interpersonal skills.

- Strong organisational skills

- Proficient in Microsoft Office Suite

- Ability to work flexible hours, including evenings and weekends, based on event schedules.

Preferred Skills:

- Knowledge of event marketing strategies and social media promotion.

- Experience managing virtual or hybrid events.

- A creative mindset with the ability to think on your feet and solve problems.

- You must be excellent and proficient in digital platforms
