Job summary

We are looking to recruit a highly motivated medical receptionist to join our small team. (see job description for full details) up to 30 hours per week plus adhoc additional hours to cover reception colleague's absence, annual leave etc.The successful candidate will ideally have previous experience of working in a GP practice.

About us

We are a small friendly practice (4000+ patient's) based within Palmer Community Hospital in Jarrow. We have 3 part time GP Partners, 1 full time Practice Nurse and 1 part time Health Care Assistant.

Job responsibilities

MAIN PURPOSE OF THE POST:To provide a point of contact for patients and act as a focal point of communication between patients,doctors and other medical staff.To ensure the doctors are able to provide an efficient, helpful and caring service to the practicepopulation.Through sensible use of initiative, flexible approach and working to consistently high standards, the postholder will provide help and support to the Partners and all colleagues in the team.The post holder will be expected to prioritise tasks effectively and efficiently.

MAJOR DUTIES AND RESPONSIBILITIES: Ensure efficient operation of the appointment system, and monitor the flow ofpatients into consulting and treatment rooms. Explain practice arrangements and formal requirements to new patients, and those seekingtemporary cover. Ensure registration procedures are completed. Advise patients of relevant charges for private services, accept payment, and issue receipts. Respond to all queries and requests for assistance from patients and other visitors. Enter requests for home visits into the visit book, stating time received and including allnecessary information. Where necessary refer to the oncall doctor. Take and process requests for repeat prescriptions. Ensure that the patient is aware of whenthe prescription will be ready for collection. (ie 48 hrs ). Ensure reception and waiting areas are kept neat and tidy Ensure total familiarity with all appointments systems including regular and incidentalvariations. Book appointments and recalls, ensuring full name and DOB are entered, to ensure that thecorrect record is retrieved. Monitor the effectiveness of the system and report any problems or variations required. Retrieve and refile records as required, ensuring that strict alphabetical order is adhered to Receive and make calls as required. Divert calls and take messages as appropriate. Ensure that the system is operational at the beginning of each day and switched over toVoicemail for out of hours at the end of each day. Open up the premises at the start of day and make all necessary preparation to receivepatients. Secure premises at the end of the day. Open and stamp incoming mail Scan hospital letters and other correspondence Dealing with changes of address Completion of blood /urine tests on ICE Create new patient records Clear rooms after surgeries and replenish any necessary stock Make coffee/ tea for doctors Use of all office equipment Any other duties the management feel appropriate to the roleThis is not an exhaustive list of all dutiesThe responsibilities above are applicable to all Medical Receptionists, who will perform certainresponsibilities on a particular day according to a rota.

SPECIAL REQUIREMENTS OF THE POST: An understanding, acceptance and adherence to the need for strict confidentiality. An ability to use own judgement, resourcefulness, common sense, and local knowledge to respondto patients' enquiries and requests. Keyboard skills necessary to undertake responsibilities involving use of the practice's clinicalcomputer system. Excellent communication skills. Needs to work effectively as a member of the Reception team, other Practice members and thewider primary healthcare team. High degree of flexibility in hours worked required. Work additional shifts to cover staff absenceand attend staff meetings outside of normal working hours.

They do so in confidence and havethe right to expect that staff will respect their privacy and act appropriately. In the performance of the duties outlined in this Job Description, the post-holder may haveaccess to confidential information relating to patients and their carers, Practice staff and otherhealthcare workers. They may also have access to information relating to the Practice as abusiness organisation. All such information from any source is to be regarded as strictlyconfidential. Information relating to patients, carers, colleagues, other healthcare workers or the business ofthe Practice may only be divulged to authorised persons in accordance with the Practice policiesand procedures relating to confidentiality and the protection of personal and sensitive data.

HEALTH & SAFETY: The post-holder will assist in promoting and maintaining their own and others health, safety andsecurity as defined in the Practice Health & Safety Policy, to include: Using personal security systems within the workplace according to Practice guidelines. Identifying the risks involved in work activities and undertaking such activities in a way thatmanages those risks. Making effective use of training to update knowledge and skills. Using appropriate infection control procedures, maintaining work areas in a tidy and safe wayand free from hazards. Reporting potential risks identified.
