Job summary

An excellent opportunity has arisen for a Pharmacy Manager(non-pharmacist) to join our friendly team within Holme Pharmacy, Holme onSpalding Moor.

The rightcandidate will have a strong work ethic, the ability to cope under pressure, experienceof supervising a pharmacy team and experience of competitive purchasing. Adispensing qualification is desirable but not essential.

HOURLYRATE: £ (£35,294 WTE)

HOURS: 25-32hours over 4-5 days (preferably 5)

ANNUAL LEAVE: 5 weeksplus bank holidays (pro rata)

We dispense prescriptions for the Holme-on-Spalding-Moor locality aswell as hosting collection points at Brough & South Cave surgeries. Inaddition to prescription services, our pharmacy offers services such as fluvaccines, consultations, Pharmacy First, minor ailments and much more.

Main duties of the job

Working alongside the Superintendent Pharmacist, the Pharmacy Manager will be responsible for overseeing the day-to-day operations within the pharmacy, purchasing and some administrative functions as well as contributing to the governance and strategic management of the pharmacy.

About us

As well as the Superintendent Pharmacist, we employ two counter assistants, four dispensers, a delivery driver, a pharmacist and an Operations Manager. We hold a 40-hour license and are open for customers Mon-Fri 08:30-12:30 and 14:00-18:00.

We are a small, friendly team and have a close working relationship with The Ridings Medical Group who have GP surgeries at Brough, South Cave, Holme on Spalding Moor, Bubwith and Hessle. This relationship ensures that the pharmacy team are well supported and can draw upon the expertise of other managers, GP Partners and administrative staff.

Job responsibilities

Staff Management & HR

To assist the Superintendent Pharmacist with:

Day-to-day HR management of the pharmacy team,ensuring adequate staffing is in place, generating rotas, approving annualleave etc. Completing annual appraisals and 6 monthlyaction plan reviews for pharmacy assistants and dispensary supervisor. Ensurethat a copy of each appraisal document and written records of formal meetingsare passed to the Operations Manager for the staff file. Recruitment of new staff, organising andoverseeing the induction and successful integration of the new member of staff. Training of staff including Bluestreamcompletion, ad-hoc training as required and keeping staff up-to-date withchanging guidelines and initiatives. Ensuring absence from work due to illness,hospital appointments, compassionate leave or dependent leave is recorded onthe appropriate form and passed to the Operations Manager. Holding periodic staff meetings to discussupcoming changes and provide training and support. Ensuring staff are aware of InformationGovernance requirements and have completed necessary training. Ensuring that all locum pharmacists anddispensers have the necessary qualifications, training, indemnity cover andright to work in the UK. Ensuring accurate records of annual leave arekept and staff are taking their annual leave throughout the year. Annual leavemust not be carried over unless in exceptional circumstances and approved bythe Operations Manager. Escalating staff issues to Operations Managerand/or staff sub-committee as appropriate.

Dispensing

Provide assistance to the dispensary teamincluding completing dispensing duties as required (if qualified). Complete regular advertising drives to increasecollection point sign ups including via social media, leafleting, posters inthe community etc. Supportthe dispensing workflows, ensuring stock returns are completed within thenecessary timescales.

Services

To assist theSuperintendent Pharmacist with:

Managingthe provision of NHS services and public health contracts, ensuring thatguidelines are followed and correct claims are made. Assessingthe value of new service contracts, discussing with the OPL Strategy Group forfinal approval of sign up and completing a business proposal as required. Organisingthe annual Flu and Covid service including arranging staff training, orderingvaccines and ensuring the correct contracts and patient group directions (PGDs)are in place. Ensuringthat vaccine administration is reported promptly via pharmoutcomes. Ensuringprivate vaccinations are invoiced correctly and passed to the FinanceAdministrator.

Over the counter (OTC) Trade

Maintainadequate stock levels of Pmeds, retail and OTC items within the pharmacy,ordering as required (paying attention to costing) and checking all invoicesagainst stock received. Rotating stock to ensure short dated lines are usedfirst. Overseethe regular review of OTC pricing to maximise profit and ensure good value formoney for customers. Analysespending trends and product placement to maximise sales and minimise wastage.

IT & Telephones

To assist the SuperintendentPharmacist with:

TroubleshootingIT problems, involving Emis Health and other providers where required Updatingthe pharmacys Facebook account to provide patients with useful information andupdates. Ensuringthat the PMR system and any other appropriate systems in use in the pharmacyare maintained and protected effectively. Managingaccess to the national spine (smartcards) and to pharmacy websites andsuppliers in line with GDPR guidance. Regularlychecking the pharmacy NHS email account. Continuingdevelopment of the website and keep information up to date.

Governance & Complaints

OverseeingHealth Promotion within the pharmacy as part of the Healthy Living Scheme andin line with national campaigns. Promote via a variety of means includingsocial media, in-store posters, leaflets and any other appropriate medium. Actas the first point of contact for any complaints, addressing them in aprofessional and courteous manner. Escalate complaints as required and ensuredetails are fully documented in line with pharmacy policy. Complete the annualNHS England complaints return. Complaintlogging & management of any ongoing issues/complaints. Ensurethe complaints policy is kept up to date and leaflets are available forpatients.

To assist theSuperintendent Pharmacist with:

Ensuringstaff & processes are compliant with General Data Protection Regulations(GDPR), escalating any issues to the OPL Information Governance team asrequired. Completionof the pharmacy risk register including identifying areas of risk andimplementing the necessary changes. Ensuringthat the pharmacy is compliant with GPhC guidance and can evidence this in theevent of an inspection. Keepingahead of national and regional changes which may affect the pharmacy andsupporting any necessary changes.

Finance

Overseethe cashing up daily, including printing till reports, doing end of day bankingon card machine and rectifying any till discrepancies. Investigate anyanomalies and reporting to Finance Administrator as required. Advise the FinanceAdministrator when further change is required. Ensuresufficient credit is available for the text messaging service.

To assist theSuperintendent Pharmacist with:

Negotiatingcompetitive buying prices with suppliers to get the best price possible for thepharmacy, balanced with the time spent doing it. Make use of the Golden ToteScheme as required and analyse costs to ensure that it remains competitive. Thecompletion of the month end process, ensuring returns are sent by the deadlinedate. Ensure prescriptions are endorsed correctly, overleaf completed bypatient, counted, recorded and filed ready to be sent to the PPA forreimbursement at the end of each month.

Buildings & Equipment

NotifyPractice Operations Manager in the event of any building or equipment defects. Arrangethe necessary repair or replacement in the event of any equipment defects.Ensure that all equipment is maintained as legally required and is in goodworking order. Ensurethat the pharmacy is tidy, organised and provides a suitable workingenvironment for staff, particularly in respect of safe dispensing and healthand safety requirements. Overseethe regular and effective cleaning of the premises.

Health & Safety

To assist theSuperintendent Pharmacist with:

Day-to-daymanagement of all health and safety issues including the management of riskassessment and fire risk assessment Compliancewith COSHH regulations Loggingof significant health & safety incidents and reporting to the OPL StrategyGroup for review. InfectionControl/Cleaning audits and ongoing work Liaisingwith the Practice Operations Manager for any required maternity/medical riskassessments. 2yearly pre-acceptance waste audits & any actions for SRCL and PHS (separateaudits)

Communication & Meetings

Attendand engage with the OPL Strategy Group. Meetreps and account managers to ensure the pharmacys profitability is maximised. Shareknowledge of upcoming changes with the OPL Strategy Group as necessary.
