Main duties of the job

To provide a general clerical support for the SACCT secretaries and consultants. To facilitate audio-transcription of clinic letters, results and discharge letters, and to provide a general clerical service and support throughout the department.

The post holder will be required to work as part of a team providing cross cover during periods of staff absence.

To work as part of the busy admin team within the SACCT division. This includes but is not limited to retrieving case notes, validating the RTT pathways, retrieving referrals from ERS, audio-typing and supporting with administrative tasks.

Job responsibilities

1. To retrieve patient case notes from across the Hospital and associated peripheral hospitals

2. Ensuring Health Record folders are traced to the location held on the hospitals electronic HISS system.

3. Admit and process patient attendance within the associated clinics.

4. To add and amend administrative information (e. g updating the patients demographic details) regarding patients both on the HISS system and within Health Record folder ensuring both the accuracy and completeness of the information required.

5. Update the Hospital Information System to reflect the correct patient details.

6. Ensure that all duties allocated are completed in a timely and satisfactory manner.

7. Offer general support the admin team.

8. Liaise with, and work in harmony with, other areas of the Trust to promote patient experience.

9. To be an integral member of their assigned team.

10. To adhere to the Medical Records Procedures.

11. Answering the phone, taking messages and acting upon the messages for both outpatient and day case attendances.

12. Constantly review admin processes and consider ways in which to improve them.

13. Comply with the job description statement.

14. The post holder must comply with all relevant policies, procedures and training requirements.

15. To undertake any other ad-hoc activities as directed.

Person Specification

QUALIFICATIONS

Essential

Word processing - Qualified to RSA III/NVQ level 3 or equivalent qualification/demonstrable skills ECDL or equivalent qualification/demonstrable skills/experience

Desirable

NVQ level 2 business administration City and Guilds Certificate in Medical Terminology, or equivalent demonstrable skills/experience

EXPERIENCE

Essential

Knowledge of Microsoft Office Programs Experience of successfully working within tight time frames and to deadlines Ability to communicate in a clear and concise manner. Good numerical skills Good command and understanding of English, punctuation, and grammar

Desirable

Experience of providing secretarial services in a hospital environment Experience of using digital dictation systems Experience of using NHS IM&T systems for data entry Experience of medical audio typing
