The TeamThe Team is responsible for the development of HR strategy in line with the Firm's strategy and business goals, and effecting this through the design and implementation of HR policies, practices and initiatives across all areas of people management including professional development, recruitment and selection, diversity, employee relations, pay and benefits, and organisational change and development.
Scope To support the Senior Payroll & Reward Adviser with monthly outsourced payroll processes and reward and benefits administration. To play an integral part in the annual salary and bonus review processes and the annual benefits renewal alongside Senior HR Systems and MI Analyst. To provide cover in the absence of Senior HR Systems and MI Analyst and Senior Payroll & Reward Adviser. A super-user of core HR, payroll, benefits and appraisal systems, acting as the first point of contact for pay and benefits queries. ResponsibilitiesHR and Payroll Systems and processes
To be a super-user of the HR, payroll and benefits systems, acting as the first point of contact for any queries relating to pay and benefits through monitoring of the payroll inbox. HR system user management and set up of self-service. Assisting the Senior Payroll & Reward Adviser in the preparation of monthly payroll and benefits checking and the annual benefits renewal. Being the first port of call for any salary or benefit related queries. Assisting the Senior Reward and Benefits Manager in the annual salary and bonus reviews including running reports and document and report preparation. Completing regular data integrity checks and data cleansing of the HR and Payroll system with the Senior HR Systems and MI Analyst and ensuring that any data issues are resolved promptly and relevant processes are updated where required. Supporting the annual Gender Pay Gap process with Senior HR Systems and MI Analyst and Senior Reward & Benefits Manager in providing payroll data and implementing actions as a result of our internal analysis. Assist the Senior HR Systems and MI Analyst with data import and export processes such as holiday adjustments and salary and bonus review.HR Management Information
Creating and generating ad-hoc reports requested by HR team members, Managing Partners, Directors and other leaders across the firm. Assist the HR Systems and MI Analyst with producing monthly reports for the Management Board, HR Team, Departmental Managing Partners and ensuring accurate and timely presentation and distribution. Assist the Senior HR Systems and MI Analyst with data and analysis of the engagement and appraisal systems, and practising certificate renewal and ED&I reports to support their strategy.Payroll
Assist the Senior Payroll & Reward Adviser with monthly payroll processing including preparation of variable input for the outsourced payroll provider, liaising with the HR Operations team for instructions and payroll provider as necessary. Assist with annual P11D process including collating and coordinating the data transfer to the payroll provider with the Senior Payroll & Reward Adviser. Starters and Leavers – ensuring new starter checklists and P45s are received and sent to the payroll provider, issuing P45s and final pay details to leavers. Dealing with adhoc payroll queries from employees as they arise and escalating to relevant individuals where required. Assisting the Senior Reward and Benefits Manager in job code mapping of all roles on Willis Towers Watson, conducting an annual review in line with salary review and assisting in the mapping of new positions on an ad-hoc basis for the Recruitment team. Completion of salary and benefit benchmarking surveys for Senior Payroll & Reward Adviser to review.Reward
Assisting the Senior Reward and Benefits Manager to prepare draft salary and bonus review information. Assist the Senior Reward and Benefits Manager and Senior Payroll & Reward Adviser with the preparation of salary and bonus review communications. Compiling draft salary benchmarking data for annual salary reviews for the Senior Payroll & Reward Adviser to review Assist with the preparation and publication of Reward team communications. Dealing with ad hoc queries from employees as they arise.Benefits
Preparing and uploading benefit membership reports. Collate and do first review of monthly provider reports and invoices. Assisting with the annual benefits renewal project, collating policies and documents and publishing finalised benefit communications to staff throughout the year and assist with organising benefits fair and pension presentations. Researching new benefits and reward structures including review of staff survey results relating to reward and benefits. Assisting the Senior Reward and Benefits Manager in the review and updating of benefit related policies. Person Specification An HR Assistant/Administrator preferably with a payroll and benefits emphasis looking for their next role. High level of attention to detail. Business services experience within a legal or professional services environment preferred. Advanced user of MS Office applications: Word, Excel, PowerPoint, Outlook. Clear speaking, listening and written communication skills. Ability to stay focused and organised. Collaborative working style with other team members. Strong customer service skills. Education and Qualifications Qualified to GCSE standard, Grade C (or equivalent) in Mathematics and English is essential. Special aspectsThis role is suitable for flexible working and applications will be accepted from individuals looking to work 0.8 FTE across any working pattern as well as full-time.
The hours of work for this opportunity are 9:30am - 5:30pm but we would expect the successful candidate to be committed, flexible and prepared to work beyond the normal office hours if necessary and in response to client demand. You will be expected to follow the firm’s agile working policy, which embraces home working but will require employees to spend a minimum number of days each week in the London office.
