Main duties of the job

We are looking for a medical secretary for our small, friendly rural GP Practice . Duties are varied and interesting . Working closely with the GPs to ensure patient referrals are sent in a timely manner and dealing with related patient enquiries. Creating reports , adding rotas to the system , managing staff annual leave and petty cash just a few of the duties which make this a varied role.

A good knowledge of primary care is essential.

As a small Practice we get to know our patients and their needs well.

Despite being a small Practice we have a team of 30 people working to serve our patient population .

The friendly team consists of GPs ,Physician Associate ,Nurses, Dispensers , Receptionists, Administrators , Practice Manager,Pharmacist ,Pharmacy Technician , Social Prescriber and Delivery Driver.

JOB TITLE: MEDICAL SECRETARY

REPORTS TO: PRACTICE MANAGER

HOURS: 28 hours per week

Job Summary:

To provide general secretarial support to the Practice Manager, Doctors and Health Professionals involving word processing and audio typing skills with general clerical work over two sites.

Job Responsibilities:

To provide an efficient audio, copy typing and word processing service for GPs as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner. To assist the Practice Manager with all clerical and administrative duties. To make appointments, bookings, cancellations using the Choose & Book system as required. To attend meetings (to include Choose & Book) as required. To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure. To retrieve medical records and assist the completion of medical/insurance records. File patient records and correspondence in patient medical records. To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries. To maintain the computer clinical system in an accurate and secure manner. To assist with the gathering of statistics and information when required. To provide cover for members of the secretarial team during periods of sickness and annual leave. In liaison with the administration clerk responsible, maintain adequate supplies of office stationery in order to perform your secretarial duties. To receive and dispatch mail and maintain a pending system. Ensure the practices mail is franked and posted on a daily basis. Update relevant policies on an annual basis. Keep up to date with current legislation of job role. Attend relevant meetings both in house and external when recommended by the Practice Manager. Responsible for covering the secretarial team, implementation of referrals and booking of appointments. Summarising patient records. Responsible for covering for new patient links, recording when records are received and read coding on patient notes in the absence of the current postholder.
