Job Overview/ Duties


This is an exciting opportunity to join a growing PPC & Paid Social agency. Astute and ingrained enough to spot opportunities for improvement and empowered to act upon them. Working under the direction of the Managing Director but with a high degree of autonomy, you will work to implement and ensure smooth integrations of the agency’s tools, processes, teams, and systems.


This role requires a blend of organisational prowess, strategic thinking, and excellent communication skills to effectively coordinate project schedules and prioritise tasks. You will possess a

strong background in operations management within the marketing or advertising

industry, exceptional organisational skills, and a passion for driving

operational excellence.


Our Paid Media team manage campaigns across Google, Bing, META, Pinterest & TikTok Tok and we focus on shopping activity as a specialty.

Responsibilities

Operations

  • Process planning - Implementing new systems across the agency to improve efficiency.
  • Resourcing - Oversee the resourcing process, ensuring optimal allocation of staff to projects based on skills and availability, to meet client demands and project deadlines.
  • Onboarding – Facilitate the onboarding of new clients, ensuring a smooth transition, clear communication of project expectations, and alignment with the agency’s processes and standards.
  • Account Management Process – Oversee the account management process, ensuring seamless coordination between client needs and internal teams, while maintaining high standards of client satisfaction and retention.
  • Client surveys - Design, distribute, and analyse client surveys to gather feedback, identify areas for improvement, and enhance overall client satisfaction and service quality.
  • Invoicing – Manage the end-to-end client invoicing process, ensuring accurate and timely preparation, issuance, and follow-up on invoices in accordance with project milestones and contractual agreements.


People & Culture

  • Internal team building and training – Foster a positive and collaborative work environment including learning lunches, promoting teamwork and cross-departmental collaboration.
  • Employee reviews – Working with managers to conduct regular employee reviews, providing constructive feedback, setting performance goals, and fostering professional development to ensure continuous improvement and career growth.
  • Recruitment - Coordinate with department heads to assess resource availability and skills gaps, proactively addressing any staffing needs or challenges.
  • Employee Inductions – Coordinate and conduct comprehensive employee inductions, ensuring new hires are effectively onboarded and familiarised with the agency's processes, tools, and culture
  • Holiday & Sickness – Manage holiday and sickness records, ensuring accurate tracking, compliance with company policies, and timely communication to relevant departments.
  • Staff Surveys - Develop, administer, and analyse staff surveys to gather insights on employee satisfaction, engagement, and workplace culture, driving initiatives for continuous improvement.


Office Management

  • Health & Safety - Implement and enforce organisational policies and procedures to ensure compliance and adherence to industry standards.
  • Server - Managing documentation storage across the agency


Skills/ Experience

  • Agency background is preferable
  • Worked in a similar role, supporting multiple teams internally.
  • Proven experience in operations management, office management, or similar role, preferably within a marketing or digital agency environment.
  • Strong organisational and planning skills, with the ability to prioritise tasks and manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.
  • Proficiency in time management and willingness to learn new software, with a keen eye for detail and accuracy.
  • Ability to thrive in a fast-paced and dynamic work environment, with a proactive and solution-oriented mindset.
  • Familiarity with digital marketing and advertising concepts is a plus.
