Job Description

This role is situated within the Solar Media team and will encompass comprehensive managerial responsibilities. The primary focus is on overseeing the Sales Operations Coordinator, ensuring the seamless execution of event registration processes and systems, and managing invoicing and online payments for delegates, customers, and clients. This role demands a collaborative working approach, supporting multiple departments and liaising with third-party providers to maintain high standards of operational efficiency.


Managerial Responsibilities:

  • Team Leadership: Manage and mentor the Sales Operations Coordinator, setting clear performance goals, conducting regular reviews, and fostering a culture of continuous improvement.
  • Process Optimisation: Lead the development and refinement of event registration processes and systems to ensure accuracy and efficiency in delegate registrations.
  • Data Analysis and Reporting: Oversee ad hoc data and trend analysis, providing insights to Marketing, Finance, and the Commercial team to inform strategic decisions.
  • Revenue Management: Ensure timely invoicing, monitor outstanding revenue, and propose solutions for backlog issues, reporting monthly on financial status.


Operational Responsibilities:

  • Registration and Invoicing: Ensure accurate and efficient processing of delegate registrations and invoices, maintaining meticulous records.
  • Sales Support: Provide comprehensive sales support to the commercial team, ensuring accurate reflection of delegate details in systems and published documents.
  • System Management: Utilise internal systems (Salesforce, ESOP, Oracle) daily to maintain data accuracy.
  • Debt Resolution: Collaborate with the Commercial team, Finance, and Credit Control to identify and resolve unpaid invoices post-event.
  • Event Support: Attend live events to assist with registration delivery and onsite payments, ensuring a smooth execution.
  • Continuous Improvement: Work with internal stakeholders to identify and implement improvements across the event lifecycle.
  • Cross-Department Collaboration: Coordinate with various departments, including the Commercial team, Informa Finance, and Credit Control, to streamline processes and resolve issues related to invoicing and debt management.
  • Working with the Commercial team and Informa Finance to identify unpaid invoices post event. Working as intermediary with Commercial, Finance and Credit Control to resolve any outstanding debt.


Qualifications

  • Experience: Proven experience in a financial administrative role, with a preference for experience in managing international delegate registration processes.
  • Data Proficiency: Strong understanding of reporting, data manipulation, and trend analysis.
  • Attention to Detail: Exceptional attention to detail and time management skills, particularly in data-intensive roles.
  • Technical Skills: Competency in CRM, database management, and analysis; Salesforce experience is ideal but not essential.
  • Communication Skills: Strong ability to communicate and engage with both internal stakeholders and external customers and communities.
  • Collaborative Skills: Demonstrated ability to work collaboratively with internal teams and external partners, including colleagues based overseas.
