With over 100 employees, the Dalkia Group central function has HR, Payroll, Finance, Legal, IT, QSHE and Communications teams supporting our business unit colleagues in these specialisms.


We provide technical expertise, governance, policy, guidance and support to the business units to provide a high quality service to their own people and their clients. Roles in the centre work closely with Executive team to shape and deliver our strategic goals but also partner with the business functions to embed the values, behaviours and strategic ambitions.


A summary of the role:


The Central Payroll Team is responsible for providing a shared payroll and benefit service to all 5 of the business units and the Group centre teams. As a Payroll Specialist in the Central Payroll team, you will report to the Payroll Manager and be part of a team providing a shared service for pay and reward to the Dalkia UK Group. This includes four business units and the Group Central teams. The role will align closely with specific business units (customers) and ensure they receive a high quality, timely and compliant service for pay and benefits.


As our Payroll Specialist, you will:


  1. Hold responsibility for ensuring timely and accurate delivery of weekly and/or monthly payroll calculations and transactions.
  2. Possess a high level of payroll knowledge on statutory and company policies, procedures and Group Standards seeking advice where in doubt and be confident in resolving first line employee queries through the payroll helpdesk to a satisfactory conclusion or escalating as necessary, in line with agreed process and Service Agreements.
  3. Be responsible for the administration, coordination and management of the payroll function via our outsourced Payroll Bureau service provider, where such arrangements are in place.
  4. Prepare and input data for monthly and weekly payroll in line with payroll deadlines.
  5. Ensure employee costs are charged accurately to the right contracts / functions.
  6. Support the smooth running of payroll data between internal and external parties as appropriate
  7. Process timesheets, pay rates and welfare benefits for all contractors, permanent full time, part time and temporary employees.
  8. Support the Payroll Manager with the weekly and monthly end to end payroll processes including reconciliations of payroll reports prior to BACs transmission.
  9. Process employee expense claims and associated payment transactions as appropriate.
  10. Create and distribute payroll reports to relevant stakeholders, including Finance and HR.
  11. Ensure compliance with all employment contracts and UK statutory requirements.
  12. Provide support for Tax Year End activities i.e., P60’s, P11D’s.
  13. Support any required payroll system testing as and when required

  4. Confidentiality: Demonstrates ability to handle confidential payroll information with discretion while maintaining employee privacy.
  5. Communication: Strong written and verbal communication skills to communicate with all levels of staff.
  6. Team Player: Ability to collaborate and work as part of a team within the payroll department.
  7. Proficiency in Microsoft Office: Advanced knowledge of Microsoft Excel.

Experience


  1. A minimum of 2 years’ experience as a Payroll Administrator or similar role.
  2. Strong knowledge of UK payroll legislation, including tax, pension, and statutory payments.
  3. Experience in delivering end to end weekly and monthly payrolls.
  4. Knowledge and experience of iTrent Payroll systems (preferred)
  5. Knowledge of Working Rule Agreements would be advantageous
  6. Proficiency in using payroll software and Microsoft Excel for data management, analytics, and reporting.
