Customer & Technical Support Administrator

Our client is currently seeking a Customer & Technical Support / Administrator to strengthen the existing team Reporting to the Purchasing & Customer Services manager you will be responsible for the smooth running of the Plant's Customer Service and Administrationsections.
Hours of work will be Monday - Friday, rotating weekly between 7.00am - 3.00pm & 9.00am - 5.00pm.
Duties include but are not limited to:
Customer Service
- Prioritise and process customer’s orders, deliveries and queries within a busy environment
- Handle customer complaints quickly and efficiently, provide appropriate solutions and alternatives within the time limits and follow up to ensure resolution
- Maintain thorough and accurate customer service records
- Check product availability for customer orders
- Help customers register online and process orders
- Liaise with the courier to arrange collections and deliveries using the couriers online portal
- Processing customer payments using sage pay, whilst exercising strict customer confidentiality
- Keep records of customer interactions, process customer accounts and file documents
- Liaising closely with Marketing on current and new product lines
- Greeting Customers and Visitors - Reception duties
- Setting up conference room for meetings, booking hotels and travel
- Processing employee expenses
Administration
- Collating production figures to produce a daily financial pack with the use of EIQ reports and manual stock counts
- Data input & order processing
- Processing and reconciling intercompany transfers
- Procurement control (from placing the order to receiving and processing the invoice)
- Prepares and reports all site accounting information
- Reconciling customer self-bill invoices with despatches
- Communicates with other sites for transfer of information and requests
- Use of IT systems & software, including online portals and ordering systems
- Preparing and processing customer labels for shipping / logging haulage information
- Performs general office duties (managing the phone, supplies, mail, filing, photocopying etc.)
- Ensure month end report is reconciled and complete as required
- Updating BOM’s with new cycle settings to ensure efficiencies are up to date
- Arranging customer shipments and providing tracking information
Essential Experience / Skills
- The ability to multitask and stay organised
- High attention to detail
- Critical thinking and problem solving skills
- Excellent oral and written communication skills
- Comprehensive I.T. Skills to include Microsoft Office (Excel)
