Administrative Assistant

Our client, a leading Removal & Storage company are now seeking a Removals Administrative Assistant to join their team in London, UK.
The position will be responsible for assisting the Group Operations Manager and the Operations Manager in the smooth running of the Operations Department.
Key Responsibilities;
- Be proactive in improving processes within the Operations department
- PA tasks for General manager including diary management and booking meetings.
- Act at all times in the best interests of the organisation, its customers and its employees.
- Answer calls on a main switchboard in a professional manner and forward calls to relevant person/department.
- Book couriers and taxis as required.
- Provide contractors with purchase order numbers and check and sign off invoices when received.
- Ensure that all invoicing is completed accurately and on time.
- Maintain daily attendance records and monitor absences.
- Assist with closing down removal files and passing them on to the relevant logistics crews.
- Check that all file details are correct and services paid for.
- Provide a swift and efficient answering service at all times.
- Be courteous and welcoming when greeting visitors at reception.
- Coordinate holiday dates with other reception staff to ensure there is adequate reception cover at all times.
- Ensure compliance with all HR policies and procedures.
- Adhere to all health & Safety policies and procedures.
- Participate in training programmes that are provided.
- Undergo performance assessments.
- Work cooperatively and support colleagues and managers.
- Monitor stock and order as required.
- Assist in covering reception when required.
- Experience in the removals industry would be advantageous
- Good IT skills (MS Office including Outlook, Excel and Word)
- Accuracy with figures
- Excellent communication skills
- Ability to identify and resolve problems
- Excellent attention to detail
- Excellent time management skills and ability to put the time available each day to most beneficial use
