Our client is passionate about delivering first class customer service to all building guests and tenants.

The purpose of this role is to provide an effective and efficient reception and administrative support service. To support the Building Manager in respect of building maintenance, tenant liaison, health and safety, facilities/helpdesk coordination. To take responsibility for managing contractors on site and logging any maintenance and cleaning faults with relevant service providers.

**The Role**

**Customer Service;**
- Meet and greet visitors
- Contacting tenants to advise them of visitors
- Answering telephone calls
- Arranging extra services such as transport for tenants where requested
- Exceeding expectations
- Creative solutions

**Tasking/Administration;**
- Printing, scanning and photocopying
- Updating online compliance system, Risk Wise
- Minute-taking and typing of notes
- Compiling and sending out waste and recycling reports for tenants
- Assisting with building checks, vacant floor checks
- Updating meter readings and distributing to the relevant tenants and accounts department
- Assisting the BM with filing, paperwork and general office duties as required.
- Sort and distribute internal post

**Operational**
- Keeping tenant contact details up to date with main contacts and emergency contact details
- Carrying out daily building checks and logging any maintenance/cleaning issues with relevant contractors
- Ensuring outside contractors complete work reports/log books before leaving site. Issuing work permits or liaising with Facilities Manger to obtain work permit
- Knowledge of recent compliance, cleaning and Front of House audit scores

**Reception Management**
- Ensure the reception is area is in pristine condition at all times
- Liaising with cleaners to ensure that the building lobby is kept in state of good repair and cleaning standards are high
- Carrying out regular audits/checks within reception and maintaining standards

**Does this sound like you**:

- Ideally 2 years’ + experience in a self-managed, responsible Receptionist/Front of House or customer service role
- Basic understanding of Property Management industry
- Enthusiastic, passionate with a commitment to delivering exceptional standards of customer service at all times
- Mature, accountable attitude with ability to work independently and demonstrate initiative
- Confident, outgoing personality with a corporate and professional outlook
- Ability to prioritise where necessary
- Good planning and organisational skills
- Excellent communication skills
- Tact, diplomacy and awareness of confidentiality
- Self-starter with the flexibility to undertake a range of duties
- A good working knowledge of Outlook, Word, Excel and PowerPoint
- Acute attention to detail
