To be an integral member of the Women’s and Men’s Health Physiotherapy Team and to assist the Lead Administrator to efficiently and effectively manage the administrative side of our service.

The Women’s and Men’s Health Physiotherapy Department deliver both an inpatient and outpatient service to men and women with a range of pelvic health conditions. We are a team of 12 based over three sites - the John Radcliffe, Churchill and Horton General Hospitals. This role is largely based at the Churchill Hospital. Physiotherapists and admin staff work closely together to provide excellent care - this role is vital to ensure delivery of timely and high-quality care for our service users.

We are looking for a motivated, friendly administrator to support our service. The position if for 37.5 hours per week, working across 5 days. We are looking for a confident individual to provide receptionist and administrational support, to be based at the Churchill Hospital.

The main aspect of this role is to assist the Lead Administrator in providing a high level of administrative support to the clinicians and service users within the Women’s and Men’s Health Physiotherapy team, including:

- Processing patient referrals and booking relevant appointments in line with 18 week referral to treatment (RTT) pathways. This includes maintenance of a waiting list and escalating where necessary to expedite appointments and avoid potential breaches.
- Clinician diary administration, including appropriately responding to patient and hospital cancellations and ensuring effective and efficient use of service capacity is maintained.

The post holder must be able to demonstrate high levels of customer care, have an excellent telephone manner and be a confident communicator. Being able to plan, prioritise and manage your own workload whilst dealing with interruptions is essential. This post requires a high standard of clerical duties.

Patient administration is critical to supporting clinical teams in delivering high quality patient care and can make a real difference to the patient experience. Effective and efficient patient administration supports management through ensuring a high standard of data quality and by making the best use of capacity and resources.

The post holder has responsibility for assisting the Lead Administrator with the provision of a professional, comprehensive and efficient administrative service, which is effectively delivered to all patients and members of the Department. This will be through the delivery of a comprehensive administrative service to the Women’s and Men’s Health Physiotherapy Team.

**Responsibilities**:
Pathway administration

1. Assist the Lead Administrator in providing administrative support to clinical staff and all patients under their care, including diary administration, correspondence support and other administrative duties as required.

1. Support patients under the Clinicians’ care by booking relevant appointments in line with the 18 week referral to treatment (RTT) pathway.

1. Work closely with all staff in the service to ensure compliance with 18 week referral to treatment (RTT) targets, escalating and intervening where necessary to expedite appointments and procedures to avoid breaches.

1. Maintain an accurate waiting list through regular validation and updating of patient records on EPR.
