**The role**:
You will become a crucial member of the specialist Weddings team, working directly with venues and suppliers, building relationships and working closely with couples to create bespoke proposals. You will be managing your own weddings from concept through to on-site delivery. The ability to demonstrate creativity and an eye for design is essential to the role. The role is full-time, with the addition of the occasional evening and weekend work.
**Key Responsibilities**:
Drive wedding sales through the delivery of excellent customer service, venue relations and creative quotations.
Lead and drive Business Development to meet set budgets.
Clear communications with the floristry and transport teams.
Point of contact for Weddings.
Support for Head of Weddings and Senior Management Team.
Up to date financial reporting i.e. BOB and forecast.
Departmental cost control - designs and transport.
**Phone Calls**
Answer all telephone calls efficiently and professionally.
**Team Support**
Prepare rooms/areas for on-site meetings, which may include tidying the space, preparing required paperwork, and purchasing refreshments.
Prepare presentations for on-site/off-site meetings if required.
Assist in updating imagery and copy for social media profiles with the Marketing Team.
Covering Wedding installations - your own weddings and if there should be the absence of a member of the Weddings team.
Bi-monthly sit down with management to flag any large weddings/issues for the coming month.
Assist Head of Weddings with requests for information/figures/updates.
Support with induction of Wedding Designer.
Tenders for new venues and assistance when re-tendering at existing venues
**CRM**
Add wedding enquiries onto CRM.
Produce CRM confirmation & invoicing documents.
Pull reports from CRM for enquiries, confirmed and lost jobs.
Update venue regulations and contact details on the system.
Ensure BOB reports are pulled weekly and are accurate.
**Office/Store Maintenance**
Keep the office clean & tidy at all times.
Ensure consultation desk is fully equipped
**Administration**
Scan and file wedding consultation sketches. Then remove from main scan folder.
Keep venue sheets up to date and ensure new folders are started for new venues.
Keep price guideline up to date.
Keep wedding enquiry tracker up to date.
Creation of client quotations in a timely manner, and subsequent ongoing communications.
Lead consultations in the absence of the Head of Weddings/Creative Director or if sketching is not required.
Management of weddings at key venues.
Manage and attend agreed wedding promos and showcases.
**Business Development**
Develop a personal portfolio of new venues/hotels/caterers as part of Business Development.
Maintain relationships with those venues/hotels/caterers with which we work frequently.
Support members of the Events teams at site visits and masterclasses as part of Business Development.
Work through and manage the Business Development plan and action monthly activities.
Add to Business Development plan with new opportunities.
Annual Competitor Research.
**Health and Safety Responsibilities**:
Take reasonable care of your own and other people’s health and safety.
Know the emergency and evacuation procedures and the location of emergency equipment and keep all exits clear at all times.
Attend all of the safety training that your employer offers. Training helps you identify job hazards and take the appropriate precautions.
Never operate equipment unless you have been properly trained.
**Product Knowledge**
Develop an extensive understanding of all flowers and plants that are regularly used throughout the seasons.
Arrange regular catch up’s with the floristry team to develop knowledge of mechanics and ‘how to’ create designs.
**Creativity**
Take note of all work being produced in the store and workshop to gain a better understanding of styles, construction and colour palettes.
Create extensive mood-boards to give clients visuals of flowers and containers, not just names, to allow them to be guided by our extensive knowledge of the product.
Bring flare and personality to your quotations - don’t be afraid to bring new ideas to the table.
**Requirements**:
3+ years events/weddings industry or design led experience required. Experience within the floristry industry or a keen knowledge of flowers ideal but not essential.
Passion for delivering an exceptional end-to-end client experience
Ability to think creatively and generate original ideas, with an interest in design and the wider wedding industry
A meticulous eye for detail
Excellent written communication skills. Correspondence needs to be friendly, professional and precise
Accuracy and numeracy skills are essential
Confident in working independently as well as in a team
Ability to use one’s own initiative and confidence to ask questions
