The Events Team are a very busy, creative, tight knit group of vibrant professionals who are looking for someone to join the team who pride themselves on being the "yes" people and going the extra mile for their clients. We are looking for someone who has previous wedding and venue management experience and is passionate about supporting clients to make sure their event runs smoothly. Someone who is very hands on, willing to set up venues and get stuck in whenever necessary. Detail orientated, highly organised and great at thinking on their feet. Sales - Providing information about the availability of venues, quotes, and carrying out site visits - Having comprehensive knowledge of the venues including any restrictions, rules or limitations and are able to communicate these to clients, guests and suppliers - Assisting the Senior Community Events Manager in developing and creating new event business and considering new initiatives to complement existing income streams from events - Updating Priava with all enquires and events - Keeping up with income targets set by the Head of Events Operations - Ensuring all event paperwork per event is complete and compliant with the requirements of the Event Policy and Hire Agreement - Booking and managing casual staff to assist onsite and making sure they are fully briefed on the client’s requirements - Attending events to provide onsite support and ensuring successful operational delivery - Onsite delivery of events to include but not limited to customer service, organising suppliers, health and safety and guest management - Liaising closely with the Events Team and other park-based services to ensure that the wider Events/activity programme is coordinated properly - Reporting any venue maintenance requests - Ensuring all venues are kept to a high standard - Liaising with suppliers including availability checks, circulating briefings and schedules and general information enquiries - Keeping all storage areas tidy, ensuring all equipment is returned safety and cleaned after use - Dealing with relevant queries and complaints raised by clients, members of the public and suppliers or contractors. Updating the complaints and compliments log, and when necessary, escalating complaints to the Senior Community Events Manager. - Ensuring that the appropriate levels of Policing/Security/Stewarding are provided for each event Event Production - Supporting the Head of Events and Events Team with the delivery of events produced by Enable - Assisting with the physical set up and dismantling of events, including the management of contractors and suppliers and the distribution and return of events equipment / stores and vehicles as required Admin and Finance - Updating the budget with all recorded income - Creating client invoices and liaising directly with the Finance Team as required. Following up invoices to ensure that all monies owing are paid - Seeking quotes for goods and services in line with Enable’s Procurement Code, and raising purchase orders as required - Achieving targeted income through the careful selection of bookings whilst balancing the requirements of public use venues - Updating the budget with all recorded income and expenditure - Creating client invoices and liaising directly with the Finance Team as required. - Along with the Community and Venues Manager, achieving targeted income through the careful selection of bookings whilst balancing the requirements of public use venues - Carrying out other duties as directed by the Community and Venues Manager and Head of Events Skills and experience - Extensive previous wedding and venue management experience - Confidence to work independently and take charge of any situ
