Sopra Banking Software have an opportunity for a Facilities Administrator to join our Bristol office Facilities Team. The Facilities team provide a key service to the wider business acting as a support function to the Bristol office and wider UK business.
**About the role**:
As a Facilities Administrator you will be responsible for providing business support across the following areas:
**Reception/administration**
- Answering switchboard and directing calls
- Oversee use of visitor book and badges
- Post, deliveries and couriers
- Meeting and greeting clients, and arranging lunch bookings and hospitality
- Ordering and monitoring stationery and printing supplies
- Access fob management, ensuring appropriate levels of access for employees/ contractors
- Obtaining quotes for office supplies, seeking approvals and checking Invoices
- Arranging company corporate travel
- Processing purchase orders
- Support HR with new starter on-boarding and perform facilities inductions
- Various ad-hoc project work
**Office maintenance/Health & Safety**
- Monitoring the Admin inbox
- General upkeep and tidiness of the office, meeting rooms and break areas
- Liaising with maintenance contractors to resolve issues
- Undertake the role of a fire marshal and first aider
- Monitoring security and conducting ad-hoc checks
This role is a full time role but could accommodate a job share on a part time basis. Hours of work are 8:30 - 17:00 Monday to Friday
To be a successful Facilities Administrator it would be beneficial to:
- Have strong customer service skills and a professional manner
- Be proactive attitude to work and being able to work unsupervised using own initiative
- Have strong organisational skills
- Offer flexibility to provide holiday cover for the Facilities team
- Have a knowledge of Microsoft Office packages such as: Outlook, Word, and Excel & PowerPoint.
- Work outside of your remit to support other business functions when required
