Facilities Administrator

The Facilities Administrator will be responsible for supporting the Facilities Manager and Senior Facilities Administrator in the efficient and cost effective delivery of all facilities services including the operation of all plant and equipment within the client’s buildings for which he /she is responsible.
**Job Purpose**:
As Facilities Co-Ordinator you will be responsible for supporting the Facilities Manager and Senior Facilities Administrator in carrying out the tasks mentioned below.
**Key Responsibilities**:
Ø Maintain contract staff tracker, updating with information on starters, leavers, sickness, holiday, assets held and any other relevant information. Provide contract management team with summarised information on a monthly basis or as required.
Ø Maintain a weekly schedule of contract management movements and ensure timely circulation to team.
Ø Assist the business by the raising of purchase orders as required.
Ø Provide relief cover for Reception/Hospitality as and when required
Ø Provide administration of systems and processes for the sites
Ø Provide support and to deputise in the Senior Facilities Administrator’s absence
Ø Any other duties as required by line management.
**General**
Ø Ensure all activities are carried out in accordance with Financial Procedures and the Quality Management System.
Ø Ensure effective liaison and communication with other services teams.
Ø Provide input into the monthly Client report and Client Meetings as required.
Ø Ordering supplies to ensure the necessary stocks of spare parts are maintained at all times
Ø Provide office and administration support as necessary
Ø To ensure compliance with the Integrated Solutions Management System to ISO9001 and maintain the Accounts office accounting systems in accordance with this system
Ø Conform to internal reporting procedures for timesheets, expenses and other processes as required (holiday & sickness)
**Qualifications**
Ø GCSE Level education preferable
Ø Sound IT skills
Ø Proficiency in accounting and general administration
**Experience**
Ø Relevant experience in a similar environment, preferably in FM and with financial aspects to role
Ø Proven track record of achievement, preferably gained in a blue chip service organisation
**Skills**
Ø Good communication and interpersonal skills
Ø A good team player
Ø Technology literate

**Salary**: £25,000.00-£28,000.00 per year
