ESTEEM is looking for a confident Administration Assistant to support the running of the office and different areas of the organisation as a whole, in its work with young adults, volunteers and external organisations and to work consistently with ESTEEM’s values.
Principal Tasks and Responsibilities

Administration tasks including:

- Running the reception at The Old School House: Answering and directing phone calls - taking notes and making sure these are passed on to relevant staff members.
- Answer enquiries about the work of ESTEEM
- Manage e-reception app, assisting visitors to sign-in
- Assisting with the organisation of policies and procedures. Ensure most up to date versions of policies & procedures are loaded onto Breathe HR system
- Attend and manage Team Meeting process including sending out agenda, taking minutes and following up on team action points
- Assisting with HR data entry using Breathe Human Resources software
- Be active in creating a positive working environment and culture while others are working in the space
- Manage & attend to operational building problems (Internet, phone, dishwasher etc)
- Be ESTEEM’s point of contact for external Accountant
- To assist in the maintenance and financial controls of ESTEEM’S Petty Cash including topping up petty cash float on a weekly basis
- Paying in donations & managing donations log

**Person Specification**

**Experience**

Experience working in an office environment

Experience of accurate data entry

Experience of dealing with the public in person and on the phone

Previous experience of working for a charitable organisation and supporting young people (desirable)

**Skills and Abilities**

Excellent numeracy/literacy skills

Excellent organisational skills and attention to detail

Effective use of google drive and MS Office software

Fast, accurate word processing and an ability to ensure effective, professional standards of presentation

Ability to work within systems and develop more efficient ways of working

The ability to distinguish between conflicting demands, scheduling and planning work in order to meet priorities and deadlines

Ability to relate well to people and young people from various backgrounds

Ability to work autonomously as well as part of a team
